Reporting to the Warehouse Manager, the Shipping & Receiving Clerk is responsible for coordinating all incoming and outgoing shipments, verifying documentation, and ensuring the accuracy of shipping and receiving records. This role reviews receiving receipts against open orders, prepares required documentation, and escalates major discrepancies to the Shipping Manager. The clerk supports daily warehouse operations by ensuring timely workflow, proper documentation, and effective communication with internal teams and external partners.
The ideal candidate is detail-oriented, dependable, and highly organized, with a strong ability to manage multiple priorities. They communicate effectively with suppliers, carriers, and internal departments to ensure accurate transactions, on-time delivery, and efficient material flow. They bring strong judgment, problem-solving skills, and a commitment to maintaining quality and cost-effective operations.
Position Responsibilities- Coordinate the logging, routing, shipping, and tracking of all inbound and outbound orders and materials.
- Verify orders in the shipping box against reports; print missing documentation as needed.
- Review system-generated order processing and print product allocations for the Shipping Manager.
- Record special instructions on orders and ensure all markings and labels are accurately documented.
- Dispatch trucks and communicate necessary information to drivers.
- Update product locations for inter-company transfers.
- Complete all paperwork for shipped orders and process shipments in the system.
- Prepare and verify shipping documentation; including Bill of Lading, customs documents, and packing lists and ensure distribution to appropriate departments.
- Coordinate product movement and paperwork flow between company divisions.
- Provide support to the traffic/transportation function as needed.
- Assign work to forklift operators when required.
- Operate a forklift on an as-needed basis.
- Follow all company safety, hygiene, GMP, and work rules.
- Understand and comply with applicable quality, environmental, and safety requirements.
- Perform other duties as assigned.
- High school diploma or state-issued equivalency certificate.
- Minimum of one (1) years of customer service, manufacturing, or previous shipping/receiving experience.
- Ability to communicate effectively in English, both verbally and in writing.
- Ability to work flexible schedules, including overtime and weekends.
- Self-motivated with strong attention to detail.
- Intermediate proficiency in PLEX and SAP.
- Intermediate proficiency in Microsoft Word and Excel.
- Strong data entry skills with a high degree of accuracy.
- Proven ability to organize, prioritize, and meet deadlines while managing multiple tasks and competing priorities.
- Strong verbal and written communication skills.
- Basic knowledge of Good Manufacturing Practices (GMP’s) and food safety principles.
- Ability to operate warehouse equipment, including forklifts (training/certification as required).
