Job Summary
The Dispatcher schedules drivers, assigns routes and resources such as vehicles and equipment to efficiently manage traffic. This position handles internal and external customer communications, TMW entry and audit functions.
Essential Job Functions- Schedules drivers for pick‑up and delivery; selects the most efficient routes.
- Anticipates weather complications and communicates delays and route changes.
- Monitors drivers’ working hours for compliance with laws.
- Maintains phone contact with drivers and customers.
- Answers phone professionally.
- Communicates load estimated time of completion.
- Accurately enters load information into TMW and sends trips to drivers over Peoplenet when applicable.
- Ensures customer destination assignments are met and communicates variance.
- Creates daily reports at shift change and to management.
- Audits prior‑day loads, compares to assignments, and communicates deviations internally and externally.
- Ensures drivers follow load assignments to local destinations.
- Repairs error listings in TMW for billing and payroll; communicates corrections.
- Reports producer and customer inquiries promptly to management.
- Other related duties as assigned.
- High School Diploma or equivalent.
- Valid driver’s license in state of residency with acceptable driving record.
- Ability to pass a pre‑employment drug test and submit to a random drug/alcohol program.
- Proficient in basic computer skills, Microsoft Office, and Google Workspace.
- Communicate effectively and professionally with all levels of staff.
- Manage multiple tasks independently to meet deadlines.
- Adapt to changing schedules and priorities.
- Willingness to work any schedule, including nights, weekends, and holidays.
- Strong attention to detail and problem‑solving skills.
- Knowledge of DOT, FMCSA regulations or the transportation industry.
- Entry‑level knowledge of TMW software.
The physical demands described are representative of those that must be met to perform this job. Reasonable accommodations may be made. Must possess mobility to work in a standard office setting and use standard office equipment. Vision to read printed materials and a computer screen; hearing and speech to communicate. Must remain in a stationary position for extended periods. Mostly sedentary, but may stand in outdoor areas and walk between terminal, safety lane, and commercial motor vehicle operating areas.
Finger dexterity is needed for data entry. Occasionally bend, stoop, kneel, reach, push, and pull. Ability to lift, carry, push, and pull materials up to 20 pounds.
Performed in an office, commercial motor vehicle terminal, and outdoors. Exposure to minor to moderate noise and to various climate conditions, fumes, dust, odors, oil/grease, and gases.
