Job Summary

Dispatch Scheduler coordinates and schedules dispatch operations, ensuring timely and efficient service delivery. The role maintains clear communication with team members, drivers, and customers, and is on‑call to address urgent scheduling needs, operational issues, and revisions to on‑duty dispatchers while informing management.

Essential Job Functions
  • Exercises independent judgment to ensure all driver resources are allocated properly to ensure on‑time pickups and deliveries.
  • Schedules drivers for pick‑up and delivery; selects the most efficient routes for each driver.
  • Audits TMW to ensure loads are properly updated and maintained, implementing live protocols at all times.
  • Ensures customer destination assignments are met, communicating variance.
  • Audits loads and communicates deviations internally and externally.
  • Conducts training with new dispatchers on scheduling processes and systems.
  • Provides support to other dispatchers, addressing their queries and challenges.
  • Communicates with customers and other terminal locations for additional freight based on resource needs.
  • Shifts resources to projects, lanes, and balancing efforts.
  • Coordinates loads/lanes with various operating groups and terminals.
  • Monitors priorities and expirations in TMW and coordinates with appropriate individuals to complete priorities before expiration to avoid downtime.
  • Communicates load ETA's to customers and to dispatchers, management, and other locations.
  • Takes incoming calls and diverts them to appropriate team members or assists in recording load data into TMW/Live Screen.
  • Answers the phone in a professional manner.
  • Reports producer and customer calls promptly to management.
  • Maintains strong customer relationships with plants, dairies, and other terminals.
  • Maintains necessary records for the terminal.
  • Identifies opportunities for process improvement and efficiencies, recommending enhancements.
  • Pre‑plans and anticipates future driver overages/shortages to be proactive about requesting or providing help to other locations.
  • Provides after‑hours support as needed.
  • Performs other duties as assigned.
Qualifications Required
  • High School Diploma or equivalent.
  • Valid driver's license in state of residency with an acceptable driving record.
  • Must be able to pass a pre‑employment drug test and submit to the company random drug and alcohol program.
  • 1–2 years of experience in dispatch operations.
  • Proficiency in basic computer skills, including Microsoft Office applications and Google Workspace.
  • Ability to communicate effectively with all levels of internal and external staff.
  • Ability to manage multiple tasks independently to meet deadlines.
  • Ability to adapt to changing schedules and priorities.
  • Ability to work any schedule, including nights, weekends, and holidays.
Preferred
  • Associate degree in logistics, supply chain management, or related field.
  • Advanced knowledge of TMW.
  • Knowledge of DOT, FMCSA regulations or the transportation industry.
  • Ability to lead others and resolve conflict.
Physical Requirements

Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or calculator, and to operate standard office equipment.

The job occasionally involves bending, stooping, kneeling, reaching, pushing, and pulling. Employees must have the ability to lift, carry, push, and pull materials and objects weighing up to 20 pounds.

Work Environment

The duties of this job are performed in an office environment, a commercial motor vehicle terminal, and outdoors, exposing the employee to some minor to moderate noise from office and vehicle equipment. Employees may experience exposure to various climate conditions, fumes, dust, odors, oil/grease, and gases.
