Sales Coordinator

Role Summary

The Sales Coordinator supports the Sales and tendering cycle by managing CRM records, technical proposals, tender documents, supplier quotations, submissions and internal follow ups. The position reports to the Sales Manager or Head of Sales and helps ensure that opportunities progress efficiently and all submissions are complete, compliant and delivered on time.

• Maintain CRM opportunities, customer information, activities and pipeline updates.
• Track opportunity stages, deadlines, action items and deal progress.
• Prepare technical proposals, tender documents, compliance statements, technical schedules, addendums and clarifications.
• Coordinate the collection, review, consolidation, submission and evaluation of technical tender documents.
• Review tender requirements and ensure submissions comply with specifications and evaluation criteria.
• Coordinate with Sales, Sales Engineering, Finance and other internal departments.
• Obtain quotations, technical information, compliance documents and availability details from suppliers and vendors.
• Track supplier responses and follow up on outstanding requirements.
• Maintain proposal templates, tender checklists, project files and document control records.
• Support client presentations, pre contract technical reviews and project handovers.
• Monitor applicable UAE regulatory requirements, including SIRA, MCC and DCC.
• Escalate delays, missing information and submission risks to management.

• Bachelor's degree in Electrical, Electronics, Telecommunications or Computer Engineering, Information Technology, or another relevant technical discipline.
• 2–3 years of relevant experience in Sales coordination, tender coordination or technical sales support.
• Good knowledge of ELV, security systems and ICT solutions.
• Familiarity with CCTV, access control, networking and related infrastructure.
• Practical experience preparing, submitting and evaluating technical tenders and proposals.
• Familiarity with RFP, RFQ and tendering processes.
• Proficiency in CRM or sales management platforms.
• Proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
• Excellent written and verbal communication skills in English.
• Strong attention to detail, organization, document management and multitasking skills.

• Previous employment with a system integrator or technology solutions provider.
• Experience coordinating with manufacturers, distributors and suppliers.
• Knowledge of UAE tendering, procurement, regulatory and compliance requirements.
• Experience using Salesforce, Hub Spot, Microsoft Dynamics or a similar CRM platform.

• Accurate and timely CRM updates.
• Complete and compliant technical tender documentation.
• On time proposal and tender submissions.
• Accurate assessment of tender requirements and evaluation criteria.
• Effective coordination with internal teams, suppliers and vendors.
• Reduced proposal turnaround time and improved Sales efficiency.
