Job Summary

Under general supervision, performs a variety of complex administrative and accounting activities related to criminal, traffic, forfeiture and civil court files and reports; familiarity with the functions, procedures and subject matter of the entire Clerk of Courts office; frequently exercises initiative and judgment in applying procedures in both routine and non‑routine situations; expected to perform relatively independently; deputized for the purpose of clerking court proceedings, administering oaths to witnesses, jurors and bailiffs and signing legal documents and/or court orders.

Responsibilities
  • Answer phone calls, receipt fine and fee payments, calendaring, answer questions and provide written information to walk‑in customers, assist other departments with related court issues, composing correspondence, case setup, filing and process mail.
  • Attend educational seminars.
  • Maintain confidentiality and discretion.
  • Prepare files by having all necessary documents available for hearings.
  • Take concise minutes of court hearing and prepare documents to accurately reflect the Judge’s decisions:
    • Bail Bonds with conditions
    • Judgments of Conviction
    • Pre‑sentence Investigation data
    • Assessments
    • Revocations/Suspensions
    • Civil Judgments
    • Evictions
    • Writs
    • Final Divorce Judgments
  • After preparation of court orders and notices disseminate them to the appropriate agencies: jail, prison, probation, DOT counsel or defendants.
  • Administers Oaths.
  • Knowledge of statutory requirements and recognize errors in legal documents.
  • Cross‑trained to assist in all case types during vacations and busy court schedules.
  • Miscellaneous duties include jury management, passport processing (requires certification) and purging court records.
  • Scan court files on a daily basis.
  • Other duties as assigned.
Work Requirements
  • Associate’s degree in Legal, Administrative Assistant or Accounting.
  • Requires 2 years of office experience, knowledge of office practices and procedures; knowledge of business English and legal terminology (preferably some experience as a legal secretary or paralegal). Also requires a minimum of one (1) year of bookkeeping or accounting experience.
