Patient Scheduling Senior Specialist

Position Summary / Career InterestThe Patient Scheduling Senior Specialist supports the supervisor and leads scheduling activities for the ambulatory clinic. This role requires thorough knowledge of all job functions, serves as a resource for training other employees in collaboration with the supervisor/manager, and is a critical member of the physician’s care team. Responsibilities Calling a large volume of patients via phone or MyChart, completing EMR appointment requests, processing external medical records, assisting front‑desk operations, and preparing the physician care team for daily appointments.

- Responds to a high‑volume of incoming telephone calls.
- Schedules internal and external incoming department referrals.
- Schedules in‑person appointments, telehealth visits, surgeries, procedures, and ancillary services using Epic Cadence decision trees.
- Assists patients in registering and cancel modernas appointments.
- Accurately documents and routes calls to the proper departments.
- Efficiently navigates medical records, ensuring patient information is up‑to‑date and accurately entered.
- Follows all regulatory and compliance standards and documented protocols.
- Responds to outgoing telephone calls and faxdeos materials.
- Communicates with the care team and supports staff on various patient issues.
- Obtains and updates insurance information.
- Identifies urgent customer needs or operational issues and escalates appropriately.
- Maintains extensive knowledge of appointment types, locations, providers, and specialties.
- Works to achieve a coordinated patient itinerary consisting of multiple appointments.
- Registers patients during the scheduling process, including demographics entry, insurance verification, completion of the Medicare Secondary Payer Questionnaire (MSPQ), scanning, document preparation, and referral/appointment processing. erfaring
- Preauthorises clinic‑specific visits and procedures as needed.
- Assists patients with MyChart activation and support, including online check‑in prior to the appointment.
- Attends and participates in department clinic daily huddles and process improvement initiatives.
- Understands patient experience performance expectations for ease of scheduling appointments.
- Supports both front desk and scheduling (telephone and MyChart) workflows.
- Establishes and maintains productive working relationships with providers and the clinical care team.
- Possesses a working knowledge of patient‑related policies and procedures as well as the University of Kansas Health System services and programs.
