Jessop Fertility offers a unique and dedicated service to couples who are experiencing fertility problems. Located in the Jessop Wing, Sheffield, Jessop Fertility is one of the UK's leading assisted conception centres. Our service is led by highly experienced NHS consultants who are experts in the field of infertility and reproductive surgery to ensure patients receive exceptional service with continuity of care.
This is a fantastic opportunity to play a central role in the provision of efficient, high quality and comprehensive administrative service to the Assisted Conception Unit and Jessop Fertility. This is a rare opportunity to work a blended role between reception (2-3 days per week) and data inputting (remaining working days).
Main duties of the job- Contribute to the delivery of an efficient and effective administrative service within the Department.
- Undertake administration functions for the department, such as e‑mail, post, telephone calls, messages, photocopying and scanning.
- Undertake accurate recording / inputting and amending of data within patient notes and Trust information systems, including input of data to HFEA regulatory body within set time frames.
- Booking and rescheduling patient appointments.
- Communicate effectively with the use of tact and diplomacy and seek to overcome barriers to effective communication. This may require the use of multiple communication methods, such as email, telephone, reception duties, etc.
- Work collaboratively with the wider departmental team to ensure a consistent and effective Patient First service.
- Actively use initiative within the role but seek guidance when required and appropriate.
- Assist and support in the development and improvement of the service by sharing discussing and implementing new ideas and ways of working with colleagues and Directorate staff.
- Complete all mandatory training required by the Trust and actively participate in personal development.
- Assist with the training of new or less experienced members of staff.
- Undertake effective prioritisation of own workload and the coordination of activities / duties related to the role.
- Assist with the archiving of patient notes in line with HFEA regulations.
- Taking and processing of payments for self‑funding patients.

Person Specification Education and Qualifications- GCSE at Grade C/4 in English and Maths (or equivalent qualifications) or equivalent experience
- NVQ Level II in Business Administration / Customer Service / IT
- Experience of working within an office environment
- Experience of working in a public facing role.
- Relevant experience within the NHS
- Knowledge of / experience of using information and/or customer service systems.
- Working knowledge of Microsoft Office packages including Outlook, Excel and Word.
- Previous experience Infoflex / 59R Software
- Previous experience of PAS / Infoflex / Systm One (area specific software)
- Understanding of data protection issues and the ability to maintain confidentiality
- Excellent communication skills, with ability to deal with staff at all levels.
- Displays use of initiative with effective organisational skill
- Ability to prioritise and work to strict/conflicting deadlines
- On-going commitment to personal development
