We are looking for a friendly, organised and professional Receptionist & Clinic Administrator to join our growing clinic team.
This is a varied role that combines front-of-house reception responsibilities with administrative support, making it ideal for someone who enjoys delivering exceptional customer service while ensuring the smooth day-to-day operation of a busy healthcare environment.
You will be the first point of contact for patients, visitors and referrers, helping to create a welcoming and positive experience while supporting clinicians and operational teams through a range of administrative activities.
What You'll Be Doing Reception & Patient Experience- Providing a warm, professional welcome to patients, visitors and family members.
- Checking patients in and recording arrivals accurately within clinical systems.
- Managing walk-in enquiries and directing individuals appropriately.
- Maintaining a clean, organised and welcoming reception and waiting area.
- Processing payments for private services in line with company procedures.
- Supporting the daily operation of the clinic, including opening and closing responsibilities.
- Managing multiple email inboxes and responding to enquiries efficiently.
- Processing new referrals and making first contact with patients.
- Booking, amending and cancelling appointments.
- Coordinating patient pathways with external referral partners.
- Updating referral systems and maintaining accurate records.
- Uploading and distributing discharge letters, reports and other patient communications.
- Supporting clinicians and colleagues with general administrative queries.
- Assisting with inbound and outbound telephone calls to patients and referrers.
- Ensuring compliance with confidentiality, GDPR and data protection requirements.
- Experience working in a customer service, reception or patient-facing role.
- Previous administrative experience in a busy environment.
- Excellent communication and interpersonal skills.
- Strong organisational and multitasking abilities.
- Confident handling high volumes of telephone calls and emails.
- Good IT skills and experience using computer-based systems.
- Ability to prioritise workload and work effectively under pressure.
- A professional, positive and patient-focused approach.
- Previous experience working within a healthcare, clinical or medical environment.
- Experience dealing with patients, members of the public or healthcare professionals.
- Understanding of patient confidentiality and data protection requirements.
- Friendly, approachable and professional.
