Sue Ross Recruitment are working on behalf of our client, a highly respected local authority organisation, to recruit an Executive Assistant for a 3 month initial duration, with the possibility of extending further.
The successful candidate will provide a proactive, professional, and confidential PA support to the departmental Commissioner and Director, ensuring effective diary and inbox management, efficient coordination of business activities, and high-quality administrative support to enable the delivery of key priorities and objectives.
Key Responsibilities for the Executive Assistant- Provide comprehensive administrative and personal assistant support to the Commissioner and Director
- Manage complex and dynamic diaries, prioritising appointments, resolving scheduling conflicts, and ensuring effective use of their time.
- Monitor and manage inboxes, triaging correspondence, drafting routine responses, highlighting urgent matters, and ensuring actions are progressed within agreed timescales.
- Act as a first point of contact for internal and external stakeholders, handling enquiries professionally and escalating issues where appropriate.
- Arrange and coordinate meetings, workshops, and events, including scheduling, venue arrangements, preparation of papers, and circulation of agendas.
- Support the preparation of briefing materials, presentations, reports, and correspondence to a high standard and within deadlines.
- Maintain accurate records, action logs, and filing systems, ensuring information is managed in accordance with organisational policies and procedures.
- Track actions arising from meetings and support follow-up activity to ensure timely completion.
- Liaise with colleagues across the organisation and with external partners to facilitate effective communication and coordination.
- Previous experience in a similar role providing PA support at Executive level
- Excellent IT skills
- Strong verbal and written communication skills
