Circle Health Group is recognised as one of the UK’s top employers in both the general sector and health and social care. We have an opportunity for a Medical Records Officer to join the Medical Records team.

This is a full-time role for 37.5 hours per week. The role holder will be required to cover a flexible shift pattern. The role is not office-based and involves significant moving and handling of Medical Records around the hospital. A high level of attention to detail is essential due to the sensitivity of medical records and GDPR. The department is not currently manned on a Saturday, but this could become a requirement in the future.

A 4-week rolling rota will apply. Example schedule:
Week 1 07:30-15:30 Monday to Friday;
Week 2 08:00-16:00 Monday to Friday;
Week 3 10:00-18:00 Monday to Friday;
Week 4 11:00-19:00 Monday to Friday.

Qualifications
  • Previous administrative experience, ideally in a healthcare or records-focused role.
  • Good understanding of confidentiality, GDPR, and information governance.
  • Strong attention to detail and accuracy.
  • Good organisational skills and ability to manage time and priorities effectively.
  • Comfortable working with IT systems and databases.
  • Strong communication and interpersonal skills, with a professional and respectful manner.
Responsibilities
  • Prepare patient records for upcoming clinics, admissions, investigations, and procedures.
  • Ensure all required documentation (e.g., consent forms, test results, referral letters) is accurately filed and accessible for clinical teams.
  • Locate and retrieve patient notes efficiently when requested by clinical, admin, or legal teams.
  • Log and track movement of physical records across departments using tracking systems.
  • Handle patient information with the highest standards of confidentiality and discretion.
  • Comply with GDPR, Caldicott principles, and local information governance policies.
