Customer Service Rep, Office Administrator/ Coordinator

Our BT Workplace team provides a full range of building maintenance services to their 7,000 buildings in the UK, from commercial offices and telephone exchanges to call centres and retail shops. The role of Multi‑Skilled Host is to act as the heart of the office and provide a hassle‑free workplace experience designed to enhance our customers’ wellbeing and support the efficient operation of the building.
Key Responsibilities- Deliver a best‑in‑class Front of House service, welcoming clients, visitors, colleagues and business partners at all times.
- Plan and prioritise work allocation according to the needs of the site as determined by your Line Manager.
- Carry out daily building walks to ensure all floors are tidy, compliant and reset back to “day one”, and proactively manage any issues identified.
- Act as the “go‑to” for your floor neighbourhoods and promote BT culture and values.
- Provide proactive, innovative solutions and visible assistance when required to resolve BT colleague issues.
- Plan and deliver activity to support BT colleague engagement.
- Support the wider FM team, ensuring the site remains compliant with Health & Safety legislation.
- Maintain up‑to‑date building communications and display relevant information.
- Enter and close Facilities Helpdesk requests on time, updating the CAFM system within the contractual SLA.
- Engage with housekeeping, security and other service partners to ensure prompt and effective request solutions.
- Provide Front of House / Reception services and support all meetings and events as required.
- Carry out basic housekeeping duties, including loading/unloading dishwashers, spot cleaning, meeting‑room resets and kitchen maintenance.
- Monitor and re‑stock floor and kitchen consumables.
- Coordinate with the Engineering team to complete tasks within SLA and quality standards.
- Promote and uphold CBRE core values.
- Assist with porterage and event set‑up support.
- Monitor and report building occupancy and utilisation.
- Perform other administrative duties as required.
- Provide a pleasant, positive working environment and be proactively visible throughout the building.
- Deliver site inductions to new client colleagues and building users.
- Communicate effectively and professionally in verbal and written channels.
- Apply continuous improvement and innovation practices.
- Previous experience in a customer‑facing role is essential.
- Excellent communication and customer service skills with a keen eye for detail.
- Ability to seek out continuous improvement opportunities and portray vision, values and passion.
- Strong written and verbal communication skills.
- Multitasking ability and flexibility to adjust tasks to changing deadlines.
- Organised, independent, self‑motivated, dependable, detail‑oriented and flexible in scheduling.
- Discretion, proactive issue follow‑up and resolution.
