Leave Administration Manager

The Leave Administration Manager is responsible for all aspects of the administration and reporting of disability and leave programs across the organization, including design strategy, compliance, process improvement, issue resolution, and data and trend analysis. The position serves as the subject matter expert for HPOne’s leave programs and is responsible for all program compliance.

Supervisory Responsibilities:

Oversee and manage the Leave Administrator, providing clear direction, ongoing support, and performance feedback. Foster a collaborative and high-performing team environment through coaching, professional development, and effective leadership.

Duties/Responsibilities:

  • Demonstrate leadership in business operations and leave administration
  • Deliver exceptional cross-functional collaboration with key partners across the organization
  • Interpret contracts and leave policies to ensure consistent claims practices and adherence to appropriate laws, regulations, and procedures.
  • Conduct analytical reviews of leave data to identify trends and forecast operational needs. Create, maintain, and communicate regular ‘dashboard’ metrics on leaves providing recommendations and insights for improvement.
  • Develop and maintain leave resources, training, educational material, and communications for employees and managers. Conduct manager and HRBP training on role specific leave responsibilities.
  • Develop, implement, and maintain standard operating procedures (SOPs) to ensure consistent and compliant processes.
  • Serve as the point of escalation for leave matters. Resolves escalated issues with a sense of urgency.
  • Oversee, update, revise Leave of Absence process and work in partnership with HRIS to oversee and update the LOA process in Workday to ensure internal service levels are met.
  • Responsible for vendor management including participation in vendor RFPs, selection, implementation and annual renewal.
  • Oversee accurate integration of leave programs with Payroll, Benefits, and Workday systems.
  • Perform other related duties as assigned

Physical Requirements:

  • Must be able to remain in a stationary position (e.g., sitting or standing) for extended periods of time, typically in a cubicle environment (constant noise, fluorescent overhead lighting)
  • Frequent use of a computer, dual monitors, keyboard, mouse, and other standard office equipment such as a telephone, copier, and printer.
  • Must be able to communicate effectively, including exchanging information in person, in writing, by telephone, email or video conferencing.
  • Visual and auditory acuity required to perform job duties effectively, including reading, writing, and interpreting information on screens or in print.
  • Hand dexterity, fine motor skills needed to operate a keyboard and mouse efficiently
  • Reach with hands and arms occasionally

For Hybrid Roles:

  • Must be able to commute to an office setting as required, which may include walking short distances and navigating an office environment.
  • Occasionally moves about the office to access files, office machinery, and meet with others.

Required Skills/Abilities:

  • Bachelor’s degree or equivalent related work experience
  • 5+ years of management experience of Leave Administration
  • 7+ years of disability and absence management knowledge with demonstrated expertise in Federal/State FMLA, short-term disability, statutory disability plans, and ADA.
  • Strong leadership skills with an ability to engage employees to deliver top performance related to service and quality, set direction, monitor performance, and initiate and communicate changes in direction as needed
  • Excellent verbal and written communication and relationship-building skills including senior management presentations
  • Demonstrated ability to influence others to achieve results.
