AAA Septic is seeking a reliable and organized Dispatcher to join our team in Shelton, WA. The Dispatcher will play a critical role in coordinating daily service operations, ensuring the efficient scheduling of routes and jobs, and acting as the first point of contact for customer inquiries. Utilizing Service Core software for scheduling and Open Phone for communications, the Dispatcher will support both customers and field technicians to ensure the delivery of exceptional septic services.
Key ResponsibilitiesScheduling & Dispatching
- Use Service Core software to schedule, assign, and adjust daily routes for field technicians.
- Monitor job progress throughout the day and make real-time adjustments as needed.
- Ensure efficient routing to minimize travel time and maximize productivity.
Customer Service
- Answer inbound calls via Open Phone in a professional and courteous manner.
- Respond to customer inquiries, schedule service appointments, and resolve issues promptly.
- Provide accurate information about services, pricing, and scheduling policies.
- Escalate complex issues to management when necessary.
Operational Support
- Maintain accurate service records, work orders, and scheduling notes in Service Core.
- Communicate effectively with technicians regarding job details, customer requests, and special instructions.
- Track and report scheduling conflicts, cancellations, and service delays.
- Support the operations team with administrative tasks as needed.
- Assist the management team with responding to social media messages and comments.
- Perform other related duties as required or assigned.
Required:
- Previous experience in dispatching, scheduling, customer service, or a related role. Experience in the septic or home maintenance service industry is preferred.
- Excellent computer and communication skills, including proficiency with scheduling software, Microsoft 365 suite, project management tools, web-based (VoIP) phone systems, and professional customer communication via phone and email.
- Geographical familiarity with the South Puget Sound region, particularly Mason and Thurston counties.
- Comfort with computer systems and the ability to quickly learn and use new software.
- Ability to multitask in a fast-paced environment while maintaining strong attention to detail.
- Problem-solving mindset with the ability to make quick and sound decisions.
Preferred:
- Experience with Service Core software or other scheduling/dispatch platforms.
- Familiarity with Open Phone or similar VoIP systems.
- Knowledge of the septic or utility service industries.
