Job Summary

The Patient Access Scheduler ensures the smooth operation and flow of calls and scheduling activities. Key duties include pre‑registration, scheduling, obtaining accurate demographics, providing exam preparations, and collecting appropriate authorizations—all delivered in a courteous and efficient manner. The role may involve in‑person patient interactions or centralized call-center environments.

Essential Duties / Responsibilities
  • Accurately gather required demographic and clinical information from patient interviews and other sources, and enter it into the appropriate database. Obtain necessary signatures and information for scheduling and registration.
  • Utilize courteous and professional telephone techniques and interpersonal skills to maintain rapport with patients, physicians, and hospital staff.
  • Schedule patient procedures efficiently to maximize patient time and clinical resources.
  • Conduct all activities with an understanding of the hospital’s mission, values, regulatory and payer requirements, HIPAA privacy and security, revenue cycle procedures, and policies.
  • Perform financial clearance processes, including eligibility and insurance verification, with excellent customer service.
  • Assist with coordination of insurance pre‑certification and authorization activities.
  • Provide counseling to patients or representatives regarding pre‑service requirements and instructions.
  • Maintain a professional atmosphere for patients, family members and staff.
Minimum Requirements
  • High school graduate or equivalent.
  • Minimum six months’ customer‑service experience.
  • Five continuous months of healthcare scheduling experience preferred.
  • Knowledge of CPT, HCPCS, and ICD‑10 codes preferred.
  • Medical terminology course preferred.
  • Keyboarding, filing, or office procedure experience preferred.
  • Potential exposure to body fluids, hazardous waste, odorous chemicals, specimens, and latex products – personal protective equipment required.
  • Pre‑employment drug and alcohol screening required.
