Position OverviewThe Case Manager / Office Manager will be responsible for overseeing day-to-day office operations, managing patient scheduling and flow, coordinating care among providers, and supporting the overall efficiency and success of the clinic. This individual will serve as a key point of contact for staff, patients, and external partners, ensuring the clinic runs smoothly and delivers exceptional service.
Key Responsibilities- Oversee and manage daily front and back office operations
- Coordinate and optimize patient scheduling to maintain clinic efficiency
- Supervise and support administrative and clinical support staff
- Maintain accurate patient records and ensure compliance with HIPAA and clinic policies
- Collaborate with providers to coordinate patient care plans
- Handle billing support, referrals, and authorizations as needed
- Track office inventory and manage ordering of supplies
- Assist in hiring, onboarding, and training new staff
- Implement and maintain office policies and procedures
- Provide leadership to foster a positive, professional, and team-oriented work environment
- Proven experience in office management, medical administration, or case management (minimum 3 years preferred)
- Strong scheduling and coordination skills in a clinical or healthcare setting
- Excellent organizational, multitasking, and communication abilities
- Proficiency with electronic health records (EHR) systems and office software
- Leadership experience with the ability to motivate and manage a team effectively
- High attention to detail and strong problem-solving skills
