Position Overview

The Case Manager / Office Manager will be responsible for overseeing day-to-day office operations, managing patient scheduling and flow, coordinating care among providers, and supporting the overall efficiency and success of the clinic. This individual will serve as a key point of contact for staff, patients, and external partners, ensuring the clinic runs smoothly and delivers exceptional service.

Key Responsibilities
  • Oversee and manage daily front and back office operations
  • Coordinate and optimize patient scheduling to maintain clinic efficiency
  • Supervise and support administrative and clinical support staff
  • Maintain accurate patient records and ensure compliance with HIPAA and clinic policies
  • Collaborate with providers to coordinate patient care plans
  • Handle billing support, referrals, and authorizations as needed
  • Track office inventory and manage ordering of supplies
  • Assist in hiring, onboarding, and training new staff
  • Implement and maintain office policies and procedures
  • Provide leadership to foster a positive, professional, and team-oriented work environment
Qualifications
  • Proven experience in office management, medical administration, or case management (minimum 3 years preferred)
  • Strong scheduling and coordination skills in a clinical or healthcare setting
  • Excellent organizational, multitasking, and communication abilities
  • Proficiency with electronic health records (EHR) systems and office software
  • Leadership experience with the ability to motivate and manage a team effectively
  • High attention to detail and strong problem-solving skills
  • Commitment to providing compassionate and respectful patient care
