PROBATION SUPPORT TRAINEE (JUVENILE PROBATION) - SIERRA VISTA

CLASSIFIED: Position is subject to the provisions of the Merit System Rules pursuant to Arizona Law.

ANTICIPATED RATE OF PAY: $16.92 to $18.87 hourly, dependent upon qualifications, plus a comprehensive benefits package to include membership in the Arizona State Retirement System.

PLEASE NOTE: Position is grant-funded, with continued employment dependent upon grant funding. All positions at Cochise County require a post‑offer pre‑employment background screening.

NATURE OF WORK

Under direct supervision, performs basic work in assisting customers, processing court documents and files, and performs basic general clerical and administrative duties for the Probation Department. This is an entry‑level, trainee position. Upon successful completion of the probationary period and the one‑year training period, individuals in this classification are eligible for a non‑competitive promotion to the Probation Support Staff position. As defined under the Americans with Disabilities Act, may include any of the following tasks, knowledge, skills, and other characteristics.

TYPICAL DUTIES

Answers phones and deals with clients and victims coming in for appointments (acts as receptionist); responds to routine questions from probation personnel and the public; sorts and stamps incoming documents; recognizes the chronological order of documents and significance of various file stamps and indicators placed on files and/or documents; retrieves and delivers documents and files to various locations within the county’s probation offices;

retrieves and prepares files for court; retrieves archived files; maintains accurate and complete digital and physical files; files documents with the court; retrieves documents from the electronic case management system; receives and distributes incoming mail for the department; performs data entry; enters and maintains data in automated case management system and maintain lists; performs work in a specified area within the department;

adheres to teamwork to help accomplish the goals of the Department; maintains absolute confidentiality of work‑related issues, customer records, and restricted County information; on a daily basis, checks for supervised release hits in the ACJIS system and distributes; entry and modification of supervised release for Sex Offender records in the ACJIS system; is a certified ACJIS Terminal Operator or obtains certification within six months;

reviews and updates the absconder log and completes criminal history records checks in accordance with code; may be required to travel to other offices for training and/or office coverage. Performs other related duties as assigned.

High school diploma or GED certificate and one (1) year experience in performing secretarial or legal clerical work. Must possess and maintain a valid Arizona driver’s license and the ability to be covered by county insurance. An equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved may be considered.

PREFERRED QUALIFICATIONS

Preference may be given to individuals who read, write, and speak Spanish.

Considerable knowledge of:

  • office equipment and software such as Microsoft Word, Outlook, and Excel;
  • general office procedures and practices to include record keeping, filing and typing forms, documents, and correspondence.

Considerable skill in:

  • self‑control, patience, initiative, courtesy, tact, and diplomacy;
  • operating a computer to enter and retrieve information.

Ability to:

  • adhere to the Arizona Code of Conduct for Judicial Employees, exercising sound judgment in personal and professional matters;
  • deal with interruptions;
  • establish and maintain effective working relationships with coworkers, clients, members of other agencies, and the public;
