Base pay range

As required by our governmental client, this position requires being a US Citizen and having an active Public Trust or the ability to obtain one.
This position supports the Defense Health Agency, Armed Forces Health Surveillance Division (AFHSD). It requires superior operational support from a dynamic team of scientific professionals, including military, civilian, and contract personnel. Accordingly, a high degree of administrative expertise and responsiveness is required. Previous military/federal government environment experience is preferred, as this person must interact with senior-level service-specific (Navy, Army, and Air Force) public health leaders.
Estimated Starting Salary Range for Operations Coordinator
: $80,000 to $85,000.

Operations CoordinatorResponsibilities Include:
- Prepares memorandums, letters, documents, spreadsheets, ensuring accuracy and adherence to DoD and agency formatting guidelines, routing for approval and dissemination
- Manages task workflow by directing requests to appropriate team members, synthesize responses, and present unified updates to leadership by developing standard operating procedures to enhance the productivity and effectiveness of day-to-day operations.
- Coordinates travel arrangements using the Defense Travel System (DTS), including routing and tracking approvals, preparing travel orders, scheduling transportation/hotels, and completing payment vouchers.
- Facilitates site visits, notifying organizations and officials to be visited, transportation coordination, and managing visitor security access.
- Maintains contractor and staff calendars, integrating leave requests, TDYs, and travel plans to optimize office resource utilization and provide visibility to leadership.
- Governs operations and logistics for weekly staff meetings, including scheduling, presenter coordination, material development, digital integration, and distribution of post-meeting resources, ensuring alignment with leadership priorities.
- Onboards new employees, including arranging Common Access Card (CAC) appointments, requesting a government laptop and required software, and providing instruction for required training and timekeeping.
- Long-range event planning and day-of event execution for AFHSD and branch events. Including but not limited to foreign delegations.
- Proactively anticipates and addresses the needs of branch leadership by providing comprehensive administrative and project support, including complex calendar management, meeting scheduling, travel arrangements, and report preparation.
- Maintains distribution list and responds to subscription requests
- Updates branch calendar with staff leave and TDYs
- Develops monthly branch metrics for leadership
- Performs other job-related duties as assigned
- Bachelor’s Degree preferred
- 5+ years’ experience in administration, operations, or consulting preferred
- Must currently hold or be able to obtain a Public Trust clearance
- Microsoft Office Suite
- Excellent analytic, writing, and verbal communication skills
- Strong sense of urgency, flexibility, attention to detail, and the ability to multitask
- Team player, respectful of others, with a high level of professional and personal integrity
- Ability to manage multiple priorities and work in a fast-paced environment
- Capability of maintaining strong client relationships
- Knowledge of Public Health, DOD, or other military experience
- Familiarity with project management desired
