PRN Clinic Operations Representative - Northern Virginia (Mon - Fri, Day Shift) - (250002TB)
This position reports to the Clinic Operations Supervisor or Clinic Operations/Practice Manager. Provide patient services and administrative support in clinic operations. Interacts with parents, patients, physicians and other staff under moderate supervision in a courteous manner. Provide assistance to other employees within their department as well as other departments. Collect and verify all demographic information to ensure accuracy. May provide required notification of scheduled services according to managed care requirements.
May be responsible for scheduling patients for specialty appointments. Position may be required to float to other clinics or ROCs for coverage. Next step in career ladder is Senior Clinic Operations Rep or Team Lead position.
Note: This is a PRN-nature position with non-benefits eligibility and a commitment expectation of 6 months, after which you may be considered for a full-time benefits-eligible role if interested.
Responsibilities- Scheduling appointments, registering patients, answering phone calls, obtaining and uploading medical records and documentation, and collecting and verifying demographic and insurance information to ensure accuracy.
- Follow coverage needs: up to 40 hours per week, Monday through Friday. Hours of operation for ambulatory outpatient clinics vary from 7:00 am to 6:00 pm (all shifts are 8.5 hours). This position will provide support at the Northern Virginia clinics.
- Float to other clinics or ROCs for coverage as needed.
- Complete related tasks such as obtaining consents, handling insurance referrals or pre-authorizations, and ensuring documentation aligns with department policy.
Cash Collection
- Collect and record co-payments, deposits and payments; assist the department in meeting 85% of its collection target.
- Maintain cash controls and reconcile schedules; ensure authorizations and billing prerequisites are prepared in advance of clinic sessions.
Office Support
- Answer phones, manage voicemail, distribute mail, and maintain office files and supplies to P AR levels.
- Maintain a clean reception area and work space; monitor email and respond within 24 hours (or next business day).
- Perform other administrative duties as needed.

Minimum Education
High School Diploma or GED (Required)
Minimum Work Experience
1 year experience performing billing, patient registration, scheduling, medical insurance verification, or insurance screening.
Required Skills/Knowledge
Broad clinic knowledge, customer service skills; computer literacy;
Microsoft Office experience preferred (Word & Excel). Completion of Ambulatory Services training curriculum and competency assessments, including a mock clinic. Ability to type a minimum of 35 words per minute.
Functional Accountabilities
Patient Services
- Demonstrate accuracy of scheduling patients using the applicable scheduling system.
- Complete on-line registration with parent/guardian via telephone or in person in a professional and courteous manner.
- Collect and verify demographic and insurance information; update systems as needed.
- Reschedule no-shows or cancellations; schedule follow-up appointments at checkout if applicable.
- Greet patients and parents courteously; input patient information according to department policy.
- Obtain required consents and distribute compliance materials (e.g., HIPAA Notice, Patient Rights).
- Obtain insurance card and photo ; ensure copies are stored in the medical record and shared with CNMC HIM department as required.
- Respond to patient portal work lists (appointment requests, faxes, emails); may include messaging center work lists.
- Verify insurance eligibility and adherence to managed care carve-outs.
- Notify parents of required insurance referrals or pre-authorizations before scheduled/unscheduled appointments.
- Discuss co-payments, deposits, payment in full, or past-due balances with parents professionally.
- Refer families to Financial Information Center for payment安排 as needed.
- Verify complete insurance information and collect pre-authorization/referral information; aim to obtain authorizations 5 days prior to service.
- Use multiple systems to verify patient information is in sync (e.g., EPRS, SCI, Cerner, IDX, McKesson).
