Administrative Assistant Responsibilities
  • Coordinate office operations and serve as confidential assistant to the department head.
  • Schedule and attend meetings; prepare agendas and minutes.
  • Compile data and prepare statistical reports.
  • Process and coordinate Federal and State grants.
  • Initiate payment requests and handle accounts payable/receivable.
  • Perform accounting duties including cash handling, expense reports, and related bookkeeping activities.
  • Assist with preparation and monitoring of department budget.
  • Compose and distribute correspondence and other documents.
  • Order and maintain inventory of office supplies.
  • Perform general office duties such as copying, filing, faxing, data entry, and mail processing.
  • Initiate, enter, and verify departmental payroll.
  • Supervise and coordinate office operations and train staff members.
  • Compile data and prepare reports for review and action.
  • Process payroll documents and forms.
  • Prepare financial reports and monitor budget.
  • Receive funds and make deposits.
  • Serve as secretary and support staff for boards/commissions; prepare agendas, transcribe minutes, and compose various correspondence.
  • Revise, implement and maintain office procedures and filing systems.
  • Secure and coordinate travel arrangements for staff members.
  • Participate in selection of new employees.
  • Prepare responses and complete survey forms and questionnaires.
  • Attend meetings representing the office.
  • Maintain confidentiality of information.
  • Establish and maintain effective working relationships with officials, other agencies, fellow employees, and the general public.
  • Other duties as assigned.

Skills and Abilities

Ability to speak clearly, identify and understand speech, see details at close range and at a distance, and listen to and understand information presented through spoken words and sentences.

Job Knowledge

Requires thorough and complete knowledge of office management, equipment and procedures; comprehensive knowledge of the principles of bookkeeping, filing systems, computers and related software; ability to apply current office technology, resources and services to assist customers; knowledge of City Ordinances and municipal government, business math, interpersonal relations and ability to use the English language effectively; and exercise independent judgment in making decisions in accordance with established policies and regulations and to plan and supervise work of others.

Language

Ability and Interpersonal Communication

Requires effective communication skills and ability to provide assistance to employees and the general public, speak clearly, read English, apply common sense understanding to work processes, procedures, programs, and services, and follow verbal and written instructions.

Physical Requirements

Regularly lifts up to 10 pounds and occasionally lifts up to 30 pounds.

Work Environment

Work is normally performed in a general inside office environment with appropriate heating and cooling and is not subject to significant occupational or environmental hazards other than those normally associated with general public contact.

Qualifications

High School Diploma or GED and five to seven years office administration or accounting experience OR two years of college-level or business school coursework and zero to two years office administration or accounting experience. Any equivalent combination of experience and training that provides required knowledge, skill and abilities.
