Position: Student Support Services Clerical - Class III - 1.0 FTE at the Instructional Planning Center

Education Level: High school diploma or GED.

Experience

Required:

Minimum of three years.

Physical Requirements:

Constant hand-eye/mind-eye coordination, hearing; intermittent keyboarding, use of wrists, hands, fingers, speaking, typing and writing. Frequent filing, sitting, standing and walking.

Other Requirements:
Demonstrated competence in use of word processing, data entry, and spreadsheets.

ESSENTIAL FUNCTIONS & DUTIES Student Enrollment and Program Tracking
  • Develops and maintains student databases for Native American, homeless, and foster care populations.
  • Enrolls and flags eligible students in Infinite Campus for specialized services and supports.
  • Confirms student enrollment and eligibility for services including clothing vouchers, transportation, lunch verification, and tuition reimbursement.
  • Updates and manages address listings and student status records for internal use and reporting.
Compliance and Documentation
  • Follows federal, state, and grant regulations for Title VII/VI, Johnson O'Malley, and McKinney-Vento programs.
  • Develops and maintains filing systems and shared electronic records to support audit readiness and grant compliance.
  • Prepares, organizes, and scans required documentation, including lunch forms, program files, and verification materials.
  • Assists with federal and state grant data reporting.
Transportation and Voucher Management
  • Determines eligibility and orders bus passes, taxi services, and gas cards for qualifying students and families.
  • Maintains records of transportation supports provided; prepares monthly and annual expense reports.
  • Tracks distribution and use of student vouchers, gift cards, and other assistance.
Purchasing and Financial Support
  • Maintains Trust & Agency accounts and produces reports in a timely manner.
  • Coordinates purchasing card (p-card) procedures for multiple departments, including paperwork, reconciliation, and compliance.
  • Maintains tracking systems and spreadsheets for purchases and allocations.
  • Prepares and verifies purchase order requisitions and expense vouchers; assists with employee reimbursements.
Departmental Communications and Support
  • Develops and updates staff assignments, department email lists, brochures, and flyers.
  • Prepares program materials and documents for staff, meetings, and public distribution.
  • Schedules meetings, manages calendar updates, and orders supplies such as business cards and meeting meals.
  • Performs receptionist duties for the Student Support Services Department. Serves as the first point of contact for the department. Provides assistance and information, answers phones, records messages, replies to emails on behalf of the Student Support Services Department.
  • Opens and distributes mail.
Collaboration and Special Projects
  • Supports coordination and implementation of special events for the Indian Education program.
  • Assists with program-specific projects such as attendance newsletters, truancy cards, and outreach documentation.
  • Serves as a designated point of contact for alert systems and time-sensitive messages related to student safety or services.
Other Duties as Assigned PAY INFORMATION

Clerical Class III - Level KX, starting at $23.23 per hour.

Pay Day:
Last working day of each month.

HOURS & FTE

Monday through Friday, 7:30 am to 4:00 pm with a 30-minute unpaid break.

1.0 FTE, 40 hours per week, 12 months.

CALENDAR

Month (248 Day) Calendar.
