We are seeking a highly organized, proactive, and technology-savvy Therapy Operations Coordinator.
This role provides administrative support to Therapy Services leadership while coordinating operational activities across departments under their supervision. This role supports clinical operations, project management, quality initiatives, workforce management, reporting, technology systems, and departmental communications to ensure high-quality patient care and efficient service delivery.
Key Responsibilities:Administrative Operations & Department Coordination
- Coordinate administrative and logistical activities for Therapy Services, including caseload management, productivity tracking, and clinical documentation workflows.
- Manage travel requests, conference registrations, continuing education (CEU) tracking, and professional license renewals.
- Maintain department calendars, schedule meetings, reserve conference rooms, and coordinate staffing coverage across multiple locations.
- Organize meeting logistics, prepare materials, record meeting minutes, and maintain historical records.
- Process and reconcile department purchasing card expenses, receipts, expense reports, and financial requisitions.
- Collaborate with operational coordinators and outpatient admissions teams to support seamless service delivery.
- Assist directors and managers with workforce management tasks, including timecard approvals.
- Compile and monitor clinical quality metrics for leadership review and Quality Assurance Performance Improvement (QAPI) initiatives.
- Review policies and procedures to ensure operational compliance and best practices.
- Support regulatory, licensing, and accreditation requirements.
- Complete additional duties and assignments as needed.
- Support therapy-related technologies and software systems.
- Coordinate data backups, troubleshoot technical issues, and assist with system maintenance and repairs.
- Use systems such as One Chart, UKG, Absorb, Excel, and other reporting tools to generate operational reports.
- Track and analyze key performance indicators, including:
Patient referrals, Attendance rates, Productivity metrics & Staff training and compliance
- Advanced computer proficiency with Microsoft Office Suite, including Outlook, Teams, Word, Excel, and PowerPoint.
- Experience with Google Workspace tools such as Google Forms and collaborative applications.
- Strong knowledge of electronic medical records (EMR) systems and reporting platforms, including One Chart or similar systems.
- Excellent organizational and project management skills with the ability to manage multiple priorities simultaneously.
- Strong analytical skills and experience creating reports, dashboards, and performance metrics.
- Exceptional written and verbal communication abilities.
- Initiative and problem-solving skills with a proactive approach to improving processes.
