Salary Range: $73,216.00 To $96,096.00 Annually

SUMMARY

Under the direction of the Rehabilitation Director, coordinates day-to-day operations of the Rehabilitation Department and provides advanced non-licensed clinical and administrative support. Oversees front office workflows, scheduling, referrals, Electronic Health Record practices, equipment and supply readiness, administrative functions, and regulatory compliance activities. Serves as an operational liaison between therapists, support staff, and administrative services to support safe, efficient, and patient-centered care while contributing to quality improvement and overall clinic performance.

ESSENTIAL DUTIES AND RESPONSIBILITIES Level I
  • Oversees front-office operations, client scheduling, provider schedule templates, referrals, waitlists, transportation requests, and support staff to ensure professional client interactions, timely access to care, accurate documentation, efficient workflow, and effective communication of appointments, policies, and procedures.
  • Maintains departmental productivity and operational metrics, including caseloads, referrals, missed appointments, plan-of-care tracking, discharges, and related performance indicators.
  • Oversees billing support activities, including insurance verification, prior authorization requests, co-payment collection, cash drawer reconciliation, and coordination with the Billing and Member Services Department.
  • Coordinates preparation and operational readiness of treatment areas, clinical equipment, and materials to support rehabilitation services.
  • Collaborates with rehabilitation providers and support staff to facilitate efficient clinical workflow and meet client needs.
  • Scans client information into the Electronic Health Record (EHR) according to Medical Records policies.
  • Monitors, coordinates, and tracks discharge surveys and associated quality data.
  • Oversees rehabilitation equipment, exercise machines, and facility readiness by coordinating preventive maintenance, repairs, cleaning and disinfection, environmental safety, and maintenance of required cleaning logs.
  • Manages departmental inventory, procurement, purchasing, receipt, and distribution of clinical equipment, office supplies, linens, client incentives, and other operational resources while ensuring budget compliance.
  • Administers the Durable Medical Equipment (DME) Loan Program, including documentation, inventory control, and interdepartmental coordination.
  • Serves as the primary operational liaison between Rehabilitation Services, Medical, Referrals, Medical Records, Billing, Quality, Transportation, Information Technology, Facilities, Administration, external healthcare organizations, and community partners to facilitate coordinated patient care, departmental operations, and collaborative initiatives.
  • Develops, prepares, and distributes departmental communications, marketing materials, educational content, and updates to the Rehabilitation Aide training manual.
  • Leads interdepartmental collaborations, community outreach activities, and marketing initiatives supporting Rehabilitation Services.
  • Develops monthly departmental reports, productivity dashboards, revenue reports, and operational analytics utilizing the Electronic Health Record, Excel, and other data management tools to monitor departmental performance and identify opportunities for improvement.
  • Assists in the development and implementation of departmental policies, procedures, quality improvement initiatives, and operational workflows.
  • Collaborates with the Quality Improvement Program to support ongoing performance improvement and regulatory compliance.
  • Collaborates with the EHR team to optimize workflows, improve documentation standards, enhance reporting functionality, and support clinical efficiency, compliance, and data accuracy.
  • Evaluates operational and programmatic issues across Rehabilitation Services, identifies root causes, develops corrective action plans, implements operational improvements, and recommends service enhancements to improve efficiency, communication, and patient access.
  • Supervises rehabilitation support staff by coordinating staffing assignments, approving timecards and leave requests, maintaining appropriate departmental coverage, updating non-clinical job descriptions, and performing hiring, orientation, training, work assignment, performance evaluation, coaching, recognition, discipline, and resolution of employee concerns in accordance with organizational policies.
