EscrowAssistant - Financial Services Escrow Branch
The right candidate will be responsible for the timely preparation of all escrow files and for ordering all information necessary for the closing of escrow transactions.
Essential Duties and Responsibilities- Ability to perform all tasks of the Escrow Receptionist
- Prepare and send opening letters and “thank you” acknowledgements to all parties
- Order title commitments and distribute to all parties
- Order and update payoff/assumption statements as requested
- Prepare receipts for all funds received from customers and/or lenders
- Order wire transfers and provide wiring instructions
- Clear title requirements
- Prepare loan packages for return to lender
- Prepare simple cash and seller carryback pre-audits
- Assist branch manager with administrative tasks as requested
- Open refinance orders
- Receive builder reports, order surveys, contact the lender, obtain hazard insurance, enter basic order information on automated system, obtain HOA information, schedule and coordinate times for closings
- Prepare copies for disbursement and closing transmittals
- Assist Closer/Escrow Officer with final policy disbursement, as directed
- Monitor termite inspection requests and other required inspection information
- On a limited basis, answer customers’ questions and/or telephone calls concerning the administrative process of the parties’ transactions; answer real estate agents’ questions and/or telephone calls concerning the status of their pending files
- Cancel files according to office procedure
- Post-closing responsibilities may include:
- Assuring all information is accurate and matches the original Purchase Contract (zip codes, property address, spelling of names, marital status of buyers, etc.).
- Preparing and shipping closing packages with complete and properly signed documents.
- Preparing documents for recording in different counties in compliance with Recording Regulations and Lenders’ requirements.
- Preparing both Loan and Owners’ Policies and mailing them out; preparing endorsements to Policy when applicable.
- Maintaining the whereabouts of closing files.
- Assisting Branch Manager with administrative tasks.
- Keeping the checkbook for the Fee account and maintaining control of the mailing stamps machine.
- Providing customer service by taking calls from lenders, buyers, attorneys, realtors, insurance companies and others.
Associate’s degree (A.A.) or equivalent from a two-year college or technical school; or six months to one year related experience and/or training; or an equivalent combination of education and experience.
