Position: Clinical Admin Staff Band 3

Job Overview

To provide clinical admin support to the Consultants and their junior medical staff, ensuring that Trust standards are adhered to in relation to all documentation and data input concerning patients and treatment. The post holder will be working in the plastics surgery department and will be responsible for the efficient running of the service. The post holder will be responsible for supporting provision of similar service to all patients and staff, providing a high quality service to all customers both internal and external to the Trust.

Key Responsibilities
  • Provide administrative service to the department.
  • Plan and organise own work schedule using appropriate planning aids, demonstrating good time management and ensuring anticipated difficulties in meeting deadlines are promptly reported.
  • Deal with Consultants requests for actioning urgent correspondence, medico‑legal reports and any other appropriate adhoc correspondence requested in line with the Trust’s policies and procedures.
  • Adhere to Trust Values in promoting all aspects of care and standards.
  • Scan and upload relevant patient medical documents into the Trust’s Electronic Patient Record system.
  • Ensure that secure systems are in place for the storage of all resources including computerised information.
  • Promptly open incoming mail, link to relevant medical records and distribute post to consultants where necessary.
  • Ensure confidentiality and security of data in accordance with the Data Protection Act.
  • Communicate effectively.
  • Follow established procedures and demonstrate appropriate behaviour when dealing with patients in public.

Person Specification Qualifications (Essential)
  • Good education to GCSE standard or equivalent experience.
  • ECDL or equivalent.
  • MS Word for Windows.
  • NVQ Level 3 Administration or equivalent practical knowledge.
Experience (Essential)
  • At least 1 year experience as clinical admin.
  • Experience of working within a team environment.
  • Experience working with Microsoft/Word/PDF and EPIC systems.
Experience (Desirable)
  • Working in the NHS either in a hospital/private practice/GP setting.
  • Provide general non‑clinical advice.
  • Call centre experience.
Skills and Knowledge (Essential)
  • Good verbal communication skills.
  • Able to work independently as well within a team.
  • Basic numeracy and literacy skills.
  • Able to prioritise workload and highlight issues/concerns.
Skills and Knowledge (Desirable)
  • Judge/analyse situations to resolve patient problems.
  • Conversant with hospital information systems.
  • Understanding of medical terminology.
  • Knowledge of NHS targets.
  • Knowledge of medical abbreviations / willingness to learn.
