Head of Facilities and Operations Compliance
Role overview
We are looking for a Head of Facilities & Operations Compliance to take overall responsibility for premises related compliance, business Continuity, security, incident management and environmental reporting at the firm.
The Head of Facilities & Operations Compliance will define, develop and implement the firm’s premises related compliance reporting, manage premises related Business Continuity, set and report on security strategy, run premises related incident management and manage the environmental reporting team, providing an efficient and professional service. The post holder must be highly collaborative and lead and deliver comprehensive premises related compliance to the firm, ensuring a proactive, pragmatic and considered approach.
As part of the Facilities and Operations leadership team, the Head of Facilities & Operations Compliance will report into the Facilities and Operations Director and is a key role to guide and advise the firm in both our global offices. The Facilities & Operations Compliance team includes managers, team members and outsourced service partners covering Business Continuity, Security, Environmental reporting and Health & Safety.
Keyresponsibilities
The key responsibilities of this role are set out below and there may be others which are not listed. You may be required on occasion to work outside our normal working hours of 9:30am to 5:30pm.
- Take full ownership and responsibility for Health and Safety, premises related Business Continuity, Security Strategy, Environmental reporting and premises related incident management at the firm.
- Lead the continuous improvement of the firm’s premises related compliance and governance arrangements to ensure compliance with legislation, minimise risk and support the firm’s requirements.
- Be the firm’s premises compliance expert and lead change in compliance, when necessary, across both in house and outsourced teams. Be the first point of escalation, providing high level generalist and specialist advice across the firm.
- Devise and deliver premises related compliance strategy and reporting. Identify, lead on, plan and own strategies, implement policies and procedures.
- Establish a premises related compliance reporting and framework for auditing and monitoring (including BCM, Security compliance, Health & Safety compliance, incident management and environmental).
- Manage a regular audit programme of building risk assessments and proactively respond to opportunities for improvements to process and reporting.
- Ensure accidents and incidents are investigated, reported and reviewed as necessary, making recommendations where appropriate and filing any statutory reports (RIDDOR) with the authorities, including any subsequent liaison with HSE/local environmental health.
- Ensure management controls are in place so that everyone at the firm is aware of their statutory duties and responsibilities.
- Review policies and procedures for contractor management and ensure that procedures relating to all contractors comply with the requirements including induction, permits compliance, audit recording and production of work completion documentation and system reporting.
- Horizon scan and identify trends and emergent premises compliance regulations.
- Provide guidance, advice and support to the firm’s international offices to ensure compliance with local requirements and consistent standards.
- Support as required for projects including building refurbishment projects.
