The main purpose of a dental office treatment coordinator is to ensure the smooth flow of patient care by effectively managing appointment schedules, facilitating communication between patients and the dental team, and assisting with the financial aspects of treatment plans. The treatment coordinator plays a pivotal role in creating a positive patient experience, from the initial appointment scheduling to the completion of treatment.

Responsibilities:
  • Daily Tasks:
    • Appointment Scheduling:
      Coordinate and manage the dental appointment schedule, considering the availability of dentists and hygienists. Schedule routine check-ups, cleanings, and specific dental procedures based on patient needs and treatment plans.
  • Patient Communication:
    • Communicate with patients to schedule appointments, follow up on missed appointments, and send reminders. Address patient inquiries, provide information about upcoming appointments, and offer assistance in understanding treatment plans.
  • Treatment Plan Presentation:
    • Work with patients to develop payment arrangements and ensure financial agreements are clear. Present treatment plans to patients, explaining recommended procedures, associated costs, and the benefits of each. Address patient questions or concerns regarding treatment plans and provide additional information as needed.
  • Insurance Verification and Billing:
    • Verify patient insurance coverage and communicate details to both the patient and the dental team. Assist in billing processes, including submitting insurance claims, processing payments, and addressing billing inquiries.
  • Patient Coordination:
    • Collaborate with the dental team to ensure a coordinated approach to patient care. Communicate patient needs, preferences, and special considerations to dentists, hygienists, and other staff. Schedule and coordinate patient appointments, ensuring efficient use of time and resources.
  • Financial Consultations:
    • Conduct financial consultations with patients, explaining treatment costs, payment options, and financing plans. Work with patients to develop payment arrangements and ensure financial agreements are clear and documented.
  • Follow-up Communication:
    • Conduct follow-up communication with patients to ensure understanding of treatment plans and address any post-appointment concerns. Schedule follow-up appointments and provide reminders to patients as necessary.
  • Record Keeping and Documentation:
    • Maintain accurate and organized patient records, including treatment plans, insurance information, and financial agreements. Ensure compliance with patient privacy regulations and maintain confidentiality of patient information.
