Administrative Assistant II - Generic - Daniel Unit (008129)
Performs routine administrative support work. The role involves providing administrative support, disseminating information, maintaining filing systems, and preparing and editing reports and documents. Works under moderate supervision with limited latitude for initiative and independent judgment.
Essential Functions- Types and prepares, edits, and distributes correspondence, reports, records, and other documents ensuring conformance to rules, regulations, and policies.
- Performs data entry and retrieval, compiles, organizes, tabulates data, makes copies, and maintains files and records, including automated information systems.
- Maintains logs of work progress, document processing, and other records; assists in the maintenance of complex records.
- Answers telephones; responds to requests for information; and answers inquiries regarding rules, regulations, policies, and procedures.
- Performs a variety of marginal duties not listed, to be determined and assigned as needed.
- Graduation from an accredited senior high school or GED.
- One year full-time, wage-earning customer service, clerical, secretarial, administrative, or technical program support experience. Fifteen semester hours from an accredited college or university may be substituted for each six months of experience.
- Computer operations experience preferred.
- Knowledge of office practices and procedures, business terminology, spelling, punctuation, and grammar, and agency and departmental organizational structure, policies, procedures, rules, and regulations.
- Skill to communicate ideas and instructions clearly and concisely; coordinate with other staff, departments, officials, agencies, organizations, and the public; interpret and apply rules, regulations, policies, and procedures; problem‑solving techniques; prepare and maintain accurate records, files, and reports; use computers and related equipment in a stand‑alone or local area network environment; type 45 words per minute (with no more than 10 errors) preferred.

- Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, climb stairs, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry under 15 lbs., perceive depth, operate a motor vehicle, and operate motor equipment.
- Conditions include working inside, working around machines with moving parts and moving objects, radiant and electrical energy, working closely with others, working alone, working protracted or irregular hours, and traveling by car, van, bus, and airplane.
- Equipment used in performing only the essential functions include computer and related equipment, calculator, copier, fax machine, telephone, dolly, and automobile.
