Accounts Payable Clerk

Description We are looking for an Accounts Payable Clerk to support day-to-day payables operations for a contract position based in California. This role focuses on accurate invoice handling, vendor account maintenance, and timely payment processing while helping keep financial records organized and compliant. The ideal candidate is dependable and comfortable working with internal teams to resolve discrepancies and support reporting needs.

Responsibilities:

- Partner with departments across the organization to collect and interpret financial information needed for payable activities and account review.

- Process incoming invoices from receipt through validation, coding, and reconciliation to ensure accurate and timely payment.

- Review accounting reports against balances, confirm postings, and investigate variances or incorrect entries.

- Manage vendor accounts by coordinating payments, researching exceptions, and resolving issues related to purchase orders, invoices, or remittances.

- Prepare payment-related updates such as purchase order revisions and stop payment requests when needed.

- Reconcile payable transactions to the general ledger and maintain supporting documentation for audit readiness.

- Organize vendor records, including tax documentation, and assist with annual 1099 preparation and filing requirements.

- Examine credit card activity for accuracy, complete audits of statements, and process approved charges in accordance with company procedures.

- Contribute to financial recordkeeping and reporting while maintaining a thorough approach with internal and external business partners. Requirements - Experience supporting accounts payable functions, including invoice processing and payment coordination.

- Working knowledge of invoice coding, account reconciliation, and check run procedures.

- Ability to identify discrepancies, research issues, and follow through to resolution with accuracy.

- Familiarity with vendor file maintenance, including tax forms such as W-9s and 1099-related support.

- Strong attention to detail and ability to manage multiple deadlines in a fast-paced environment.

- Proficiency with accounting systems and spreadsheets used for payable tracking and reporting.

- Clear communication skills for working effectively with internal teams and outside vendors.
