Accounts Payable Specialist

Description

A growing construction and property development company is looking for an Accounts Payable Specialist who can keep vendor payments organized while supporting multiple active projects. This role is ideal for someone who understands the importance of accurate invoice coding, timely payments, and clear communication with project managers and subcontractors. You'll work closely with accounting and operations to ensure invoices are properly approved, project costs are recorded accurately, and vendor issues are resolved before they delay payments.

Key Responsibilities

+ Process high-volume invoices for subcontractors, suppliers, equipment rentals, and operating expenses.

+ Match invoices against purchase orders, contracts, and receiving documentation.

+ Code expenses to the appropriate project, cost category, and general ledger account.

+ Verify invoice approvals and investigate discrepancies before payment.

+ Prepare weekly check runs, ACH payments, and other authorized disbursements.

+ Reconcile vendor statements and follow up on missing invoices or outstanding credits.

+ Maintain subcontractor payment records and supporting documentation.

+ Communicate with project managers regarding invoice status, coding questions, and approval delays.

+ Assist with month-end AP reconciliations and project expense reporting.

+ Maintain organized records for audits and project cost reviews.

Requirements

+ 3+ years of accounts payable experience.

+ Construction, subcontractor, or project-based accounting experience preferred.

+ Understanding of purchase orders, invoice matching, and general ledger coding.

+ Proficiency in Excel and accounting software.

+ Strong organization, follow-through, and vendor communication skills.
