Job Summary:

The Accounts Payable Administrator’s responsibilities include creating, entering, and processing payments for all vendors and contractors and reconciling and researching vendor accounts for all vendors and contractors.

Essential Duties and Responsibilities:

• Enters invoices into accounting system and matches to purchase orders
• Tracks approved invoices and makes necessary changes
• Tracks purchase orders and open invoices
• Tracks and processes “special terms” vendors
• Prints and posts all payments
• Coordinates with Project Managers and Management on invoice approvals
• Reviews expense accounts and employee reimbursements
• Reconciles various accounts, including, but not limited to:
  Fasttrack, credit and fuel cards
• Reconciles vendor statements to payments and follow-up on discrepancies
• Prepares and processes 1099 tax forms at year end
• Archives payable records in compliance with record retention specifications
• Administrates all aspects of Comdata including card issuing and reconciliation
• Supports Front Desk Administrator on multi-line phone system and greeting guests
• Administrative errands, eg. Mail, banking and postage
• Other duties as assigned

Essential

Qualifications:

• Highly organized with strong attention to detail
• High School Diploma or equivalent
• Working knowledge of MS Office programs
• Demonstrated experience in accounting software
• Professional and courteous demeanor
• Problem solving, analytical skills, accuracy

Preferred

Job Qualifications:

• Self-directed and self-motivated
• Knowledge of construction industry
• Working experience in Vista by Viewpoint

ADA Specifications:

Position requires sitting/standing for prolonged periods and occasional walking. Manual dexterity required for computer work. There is occasional lifting of up to 25 lbs. Office cubicle work environment with a moderate noise level. Reasonable accommodations will be provided.
