Accounts Payable Specialist - Lexington Medical Center

Job Summary

Responsible for processing invoices and vendor payments and performing accounts payable close‑out procedures.

Minimum Qualifications
  • High School Diploma or Equivalent
  • Minimum of 2 years of experience in a related field
  • 2 years of experience can substitute for an Associate Degree in Accounting or related field with 1 year of related experience
  • No required certifications or licensure
Essential Functions & Responsibilities
  • Compare invoices to purchase orders for accurate information; check invoice for sales tax and available discounts.
  • Send problem invoices to appropriate person(s) for resolution.
  • Work the Accounts Payable Exception Report to resolve discrepancies between purchase orders and invoices.
  • Work with vendors as necessary to resolve billing and credit memo problems.
  • Enter appropriate information into the accounts payable system.
  • Process weekly accounts payable check run.
  • Scan, index, and maintain vendor invoice files on optical disk.
  • Review reports weekly to determine credit balances or other situations requiring resolution.
  • Provide assistance to other employees seeking information regarding invoices, payments, etc.
  • Process positive pay transactions with BB&T.
  • Gather and summarize data for analysis as requested.
  • Assist in year‑end accounts payable accrual to the general ledger.
  • Assist external auditors in relevant areas.
  • Answer phones and perform other clerical duties as required.
  • Adhere to policy and procedures pertaining to confidentiality and security of all information within the accounting department.
  • Perform other duties as may be assigned by authorized personnel or required in an emergency.
  • Advise and update supervisor and other personnel as appropriate whenever developments occur or significant concerns arise.
  • Perform all other duties as assigned.
