This position is located in Localized Eligibility Processing (LEP), Charleston County.

Administrative Specialist II who will provide administrative assistance to eligibility staff to improve efficiency in case processing. Performs administrative duties such as assisting clients, screening applications and resolving problems. Provides internal customer services by working in harmonious relationships and developing sound solutions to accomplish the S.C Department of Health and Human Services mission (The Department). Demonstrates positive, cooperative and professional relationships and customer service with staff, co-workers, customers, providers, administrators, the general public, and all stakeholders.

Must exhibit dependability/reliability/time management by reporting to work on time, by meeting work schedules & deadlines and completing job tasks effectively and efficiently.

Responsibilities
  • Assist clients in person or via telephone. Screen applicants, make appropriate referrals, answer questions & resolve problems. Adhere to all agency policies, HIPAA Medicaid Confidentiality rules. Must maintain punctuality with established schedules & exhibit exemplary customer service skills (friendly, helpful, courteous, and harmonious).
  • Provide administrative assistance to eligibility staff to improve efficiency in case processing. Review incoming applications for completeness. Scan files accurately into OnBase using correct indexing and county information. Receive faxes and direct faxes to the appropriate worker or virtually print faxes into OnBase.
  • Maintain inventory of supplies/forms. Prepare supply orders. Prepare reports as requested. Maintain filing system. Open/date stamp/read/research incoming mail and distribute to appropriate staff daily and prepare outgoing mail. Deliver mail between offices as directed.
  • Perform emergency preparedness duties or activities as required.
  • Attend meetings and training sessions as required. Make and keep schedules, complete tasks timely and report to work timely. Perform other duties as assigned.

Qualifications

A high school diploma.

Related clerical experience may be substituted for a high school diploma.

  • Knowledge of laws, regulations and policies relevant to the agency of employment.
  • Must be able to perform routine administrative duties.
  • Exercises discretion in applying policies and procedures.
  • Adheres to all agency policies, HIPAA Medicaid Confidentiality rules.
Additional Requirements
  • Occasional overnight travel.
  • Sitting or standing for long periods of time.
  • Lifting requirements: 20 lbs.
