Office Services Administrator – Onsite role

Schedule: M-F 8:30AM-5PM

Summary Of

Key Responsibilities
  • Handle sending, receiving, and distribution of mail, courier packages, and deliveries
Office Space & Equipment Maintenance
  • Coordinate maintenance and repairs for office equipment
  • Ensure security protocols are followed
  • Maintain a clean, organized, and safe office environment
  • Order and replenish supplies for workstations, breakrooms and conference rooms
  • Manage office supply inventory and maintain office roster
  • Liaise with property management and janitorial vendors for housekeeping and repairs
  • Escort vendors and guests during office visits
  • Process invoices for approval and resolve discrepancies with vendors
  • Submit vendor setup and maintenance requests
  • Update monthly accrual logs for financial reporting
Office Security
  • Front office management
  • Track and manage office keys and badges; implement consistent security processes
  • Assist with execution of office safety exercises and protocol
Administrative & Event Support
  • Assist with event planning, including ordering supplies, arranging meals, and coordinating travel and accommodations
  • Participate in ad-hoc HR and administrative projects as needed
Qualifications & Skills
  • Bachelor’s degree is preferred
  • Minimum 2 years of experience in an office environment (mailroom, shipping/receiving, or facilities experience preferred)
  • Ability to lift 25–50 lbs regularly and perform physical tasks (walking, bending, kneeling)
  • Strong organizational and planning skills with attention to detail
  • Professional communication skills (verbal, written, and interpersonal)
  • Proficiency in Microsoft Office Suite and general tech‑savviness
  • Ability to work occasional extended hours for special projects
