Worker Designation

This hybrid role requires the assistant to report to the Aflac office in South Portland, ME, four days a week, and work remotely from home the remaining days. Specific scheduling details will be discussed with leadership.

What does it take to be successful in this role?
  • Certified Professional Secretary (CPS) or Certified Administrative Professional (CAP) – preferred.
  • Excellent oral, written, and interpersonal communication skills to interact with internal and external customers, and senior and executive management.
  • Education & Experience:

    High School Diploma or Equivalent; 3 years of administrative support experience (or equivalent combination of education and experience).
Responsibilities
  • Organize the flow of work by reviewing correspondence, determining its importance, and distributing it to executives or appropriate management; answer questions and provide information to keep executives’ time free of minor detail work.
  • Prepare a variety of sensitive or routine correspondence from drafts or verbal instructions, including memos, letters, reports, proposals, charts, and other documents.
  • Follow standard procedures to prepare and process routine forms, requisitions, purchase orders, and related documents; respond to inquiries.
  • Serve as a liaison between executives, managers, and visitors; review requests, schedule appointments, and resolve problems requiring knowledge of company policies and ongoing projects.
  • Receive, screen, and route incoming telephone calls, make calls, receive visitors, and maintain the executive calendar; coordinate travel and meeting arrangements, prepare agendas and materials, and take meeting minutes.
  • Maintain inventory levels of office supplies, initiate purchase orders, reconcile invoices, and keep accurate expense records against budgets.
  • Develop and maintain effective filing systems; conduct periodic audits to purge outdated items while ensuring confidentiality.
  • Assist the management team by compiling data for and developing the department’s budget; submit travel and other expenses for reimbursement.
  • Provide administrative support to the operational functions of the department and assist subordinate secretaries and other administrative staff.
  • Support leadership through coordination of divisional and departmental meetings and company events, including Employee Appreciation Week and holiday celebrations.
Total Rewards

The salary range for this role is $43,000 to $56,600, determined by factors such as education, experience, licensure, certifications, geographic location, and peer compensation. This range is created in good faith based on information known to Aflac at the time of posting.

In addition to base salary, Aflac offers a comprehensive benefits package, including medical, dental, vision, prescription drug coverage, health care flexible spending, dependent care flexible spending, 401(k) plans, annual bonuses, and an opportunity to purchase company stock. Aflac provides 11 paid holidays, up to 20 days PTO, and state‑mandated sick leave (Washington employees accrue 1 hour of sick leave per 40 hours worked).
