This position is suited to a well-organised and proactive Office Manager who can take responsibility for the smooth day-to-day running of a busy office environment. The role includes general office administration, customer invoicing, telephone support, boardroom preparation, fleet and travel coordination, monitoring tender portals, and providing direct administrative support to the Owner. Strong Excel skills, attention to detail, reliability and the ability to work independently are essential.
Office Manager – Tokai, Cape Town
Salary: R15,000 – R18,000 per month, depending on experience
A vacancy is available for an organised, proactive and reliable Office Manager to join a busy office environment based in Tokai, Cape Town.
This role requires a hands-on administrator who can manage day-to-day office functions, support the Owner directly, communicate professionally, and ensure that office operations run smoothly. The ideal candidate will be detail-oriented, able to multitask, confident on the telephone, and comfortable working independently.
Working Hours:
Monday to Friday, 08:00 – 17:00
Key Responsibilities:
- Answer and direct incoming telephone calls in a professional manner.
- Handle customer invoicing using Microsoft Excel.
- Prepare and send invoices according to required procedures.
- Liaise with customers and internal staff regarding administrative matters.
- Manage office supplies, including tea, coffee, stationery and general consumables.
- Prepare and set up the boardroom for meetings.
- Coordinate fleet administration, including vehicle servicing and vehicle cleaning arrangements.
- Book flights, taxis and other travel arrangements for staff when required.
- Monitor online tender portals and identify relevant business opportunities using industry-specific keywords.
- Provide general administrative and office support to the Owner.
- Assist with ad hoc office management duties as required.
- Previous experience as an Office Manager, Office Administrator, Senior Administrator or similar.
- Intermediate Microsoft Excel skills are essential.
- Strong administrative and organisational ability.
- Excellent communication skills, both written and verbal.
- Professional telephone manner.
- Ability to multitask and prioritise effectively.
- Able to work independently with limited supervision.
- Reliable, detail-oriented and deadline-driven.
- Own reliable transport would be advantageous.
R15,000 – R18,000 per month, depending on experience.
