Remuneration: Market Related dependent on skill set, knowledge, and experience

Purpose Of The Job:
Excellent brand passenger vehicle dealership requires a Stock Controller whose primary duties will be to effectively manage and control all vehicle inventory within the dealership, ensuring accurate stock records, compliance with dealership policies, manufacturer requirements, and timely processing of vehicle movements from purchase to delivery.

Preferred Candidate Profile: An experienced dealership Stock Controller with strong vehicle inventory management skills, excellent administrative accuracy, and a proven ability to maintain stock integrity in a high-volume passenger vehicle dealership environment.

Key Responsibilities:
Vehicle Inventory Management
  • Maintain accurate records of all new, used, demo, and fleet vehicles
  • Monitor vehicle stock levels and aging reports
  • Reconcile physical vehicle stock with the Dealer Management System (DMS)
  • Investigate and resolve stock discrepancies promptly
  • Capture and update all vehicle information on the system
Vehicle Procurement & Receiving
  • Process vehicle orders and factory allocations
  • Receive and record vehicles upon arrival
  • Verify vehicle specifications, VIN numbers, colours, and quantities against purchase documentation
  • Ensure all vehicles are accounted for from receipt to delivery
Documentation & Administration
  • Maintain complete vehicle files and supporting documentation
  • Ensure all vehicle invoices, licensing documents, registration papers, and stock records are accurately filed
  • Process vehicle stock transfers between branches where applicable
  • Monitor outstanding vehicle documentation and follow up where necessary
Sales & Delivery Support
  • Liaise with Sales Executives regarding vehicle availability
  • Allocate vehicles against customer orders
  • Ensure vehicles are correctly invoiced and released
  • Coordinate with administration, finance, and licensing departments to facilitate smooth deliveries
Reporting
  • Generate daily, weekly, and monthly stock reports
  • Produce stock aging reports and highlight slow-moving stock
  • Report inventory variances and potential risks to management
  • Assist with month-end stock reconciliations and audits
Compliance & Control
  • Ensure adherence to dealership policies and manufacturer standards
  • Participate in internal and external stock audits
  • Maintain controls to prevent stock losses or misappropriation
  • Ensure compliance with licensing and registration requirements
Minimum Requirements:
  • Grade 12 / Matric
  • Minimum 3 years' experience as a Stock Controller within a motor dealership
  • Experience with new and used vehicle inventory management
  • Knowledge of dealership stock control processes and vehicle administration
  • Proficiency in Dealer Management System Evolve (Essential)
  • Advanced Microsoft Excel skills
  • Strong numerical and reconciliation abilities
  • Excellent administrative and reporting skills
