The Role
Specialist medical practice requires someone who is calm under pressure, organised, reliable and genuinely patient‑centred. The right candidate should communicate with warmth and professionalism, work comfortably within a small, high‑functioning team, and contribute to maintaining the smooth and efficient flow of a busy clinical environment.
Responsibilities- Diary management is a key component of the role: maintaining an accurate and efficiently structured appointment schedule, confirming appointments in advance, managing patient expectations around waiting times, and coordinating smoothly with referring doctors and allied healthcare professionals.
- Managing a complex appointment diary, coordinating referrals and specialist reports, facilitating patient communication and follow‑up, assisting with administrative workflows, and supporting the overall operational functioning of the practice.
- Administrative and financial responsibilities such as verifying patient and medical aid details, assisting with accurate billing workflows, managing co‑payments where applicable, and handling patient account queries professionally and respectfully.
- Coordinating closely with nursing staff and accounts, preparing patient files ahead of consultation sessions, and assisting with pre‑authorisations.
- Ensuring smooth patient flow throughout the day.
- 4 years’ experience as a medical receptionist, preferably working for a medical specialist.
- Bilingualism in both English and Afrikaans.
- Strong computer literacy in MS Office with Elixir medical package an advantage.
- Driver’s licence with own transport.
- Strong organisational skills, efficient time management, and the ability to prioritise tasks appropriately.
- Attention to detail, discretion, initiative, and the ability to anticipate needs.
- Greeting patients promptly and professionally, ensuring a calm and welcoming environment and offering proactive assistance.
- Strong communication skills including answering calls professionally, managing messages accurately and timely, and maintaining empathetic yet compliant communication (including strict confidentiality and POPIA compliance).
- Maintaining a professional appearance and positive presence.
- Participating in team processes and training and contributing proactively to continuous improvement within the practice.
Because this is a fully paperless practice, the candidate must be comfortable working digitally – confidence with electronic systems and practice software. Same‑day scanning and electronic filing of clinical documentation, accurate attachment of results to patient records, and careful handling of confidential information are essential.
