Procurement Operations Coordinator
The Procurement Operations Support role is central to enabling efficient, standardised, and effective procurement operations globally. This position provides critical support across procurement processes, systems, data management, reporting, and compliance monitoring. It helps ensure that regional and global teams can operate at pace and with confidence in the integrity of procurement information and tools.
This role serves as the operational and administration engine of the procurement function - coordinating information, standardising practices, and enabling better decision-making across the full procurement lifecycle.
Role Responsibilities Overview:
Procurement Process & Systems Support
- Coordinate and support day-to-day procurement administration including supplier onboarding support, contract logging, record keeping, and workflow coordination.
- Provide first-line support for procurement systems and tools (basic guidance, request logging and triage) and escalate issues to the relevant system/process owner.
- Maintain accuracy and consistency in procurement master data (e.g., supplier records, categories, locations and codes) in line with defined standards.
- Collate procurement data from agreed sources (e.g., Finance/ERP/Quality) to produce standard, recurring reports and tracking logs.
- Maintain trackers and simple dashboards for supplier records, audit schedules, sourcing activity and key procurement KPIs (using defined templates).
- Support basic spend and activity reporting (e.g., summaries/pivots) and escalate requests for deeper analysis to the relevant category/procurement lead.
- Support the onboarding and qualification of new suppliers, ensuring required documentation is complete and routed for review/approval.
- Maintain accurate records of supplier contracts, SLAs, audit outcomes and performance information as provided by contract/supplier owners.
- Track contract expiry dates and coordinate renewal workflows, escalating risks and delays where needed.
- Support compliance with procurement policies and procedures by maintaining evidence and trackers and flagging exceptions.
- Assist with preparation for audits or inspections by coordinating documents, trackers and responses.
- Track supplier risk documentation/indicators (e.g., financial, ESG, quality) and route updates to the relevant owner for assessment.
- Coordinate team meetings, training sessions/materials and routine data collection activities.
- Monitor the procurement email mailbox(es), triage queries and route to the correct owner, tracking responses where required.
- Prepare standard documentation and data packs to support procurement projects and stakeholder briefings.
- Coordinate with IT/Finance to log requests, gather information and follow up actions for system or reporting needs.
Essential: Higher education qualification or equivalent experience in operations, procurement, supply chain, or business support.
Desirable: Training in procurement or supply chain (e.g., CIPS Level 2/3 or working towards). Familiarity with reporting tools (strong Excel; Power BI desirable).
- Experience in a procurement, supply chain, operations, or business support/administration role (or equivalent).
- Experience working with procurement and/or ERP systems and maintaining accurate records and trackers.
- Exposure to supplier onboarding, contract administration or basic governance processes is desirable.
- Intermediate Excel skills (e.g., filters, pivots, lookups) and confidence using Word and PowerPoint.
- Experience with procurement systems (e.g., SAP, Oracle, Ariba, Coupa) or QMS platforms is a plus.
- Competitive salary: ZAR 267,000 – ZAR 447,000 per annum
