We are seeking an organised, proactive Supply Chain & Facilities Manager to own the flow of goods, orders, and facility services across the business.
This role sits at the centre of our R&D and Production operations, keeping both departments stocked and running, managing incoming and outgoing orders end-to-end, and ensuring our facility is well maintained. Working closely with Finance, the successful candidate will maintain accurate procurement records and inventory data, and act as a reliable point of coordination between suppliers, couriers, service providers, and internal teams.
Key Responsibilities
Procurement & Purchasing
- Order chemicals, reagents, consumables, kits, and small assets for both the R&D and Production departments.
- Source suppliers, request and compare quotes, and place purchase orders to secure the best value, quality, and lead times.
- Track and maintain the full administration of procurement, including purchase orders, supplier records, delivery timelines, and stock replenishment.
- Follow up on outstanding orders and resolve delivery, quality, or invoicing discrepancies with suppliers.
Finance Coordination
- Work closely with the Finance Department to maintain accurate order audit trails and support accounts consolidation.
- Reconcile purchase orders, delivery notes, and invoices, and ensure supporting documentation is complete and correctly filed.
- Support budget tracking and flag cost or spend trends where relevant.
- Receive and process incoming sales and service orders, notifying the relevant team members promptly.
- Track internal production and fulfilment progress against each order to ensure timelines are met.
- Coordinate and handle dispatching, keeping customers and internal stakeholders informed of order status.
Dispatch & Logistics:
Outgoing Orders
- Manage outgoing orders and parcels for both local and international dispatches.
- Organise couriers, packaging, labelling, and shipping documentation, ensuring items are packed appropriately and safely.
- Ensure compliance with relevant shipping, customs, and dangerous-goods requirements for international consignments.
Facilities & Maintenance
- Organise and book maintenance services required at the facility, and schedule routine and preventative servicing.
- Liaise with contractors and service providers, and maintain a record of maintenance activity, warranties, and service agreements.
- Ensure the facility remains safe, functional, and well stocked with general operational supplies.
Inventory & Stock Management
- Ensure stock records are accurate and up to date across all departments.
- Conduct regular stock takes, manage requisitions, and control stock movement between departments.
- Maintain inventory management systems, monitor minimum stock levels, and reorder points to prevent shortages or overstocking.
- Oversee correct storage, handling, and shelf-life management of chemicals, reagents, and consumables.
Requirements
- Minimum Bachelor's Degree: required for consideration.
- Supply Chain qualification: a degree or certified course in Supply Chain Management.
- Experience: minimum 1 year working experience in Supply Chain Management (preferred).
- Skills: notable organisational and interpersonal / social skills, with strong attention to detail.
- Strongly preferred: a relevant Science degree or background. Candidates with a scientific qualification (e.g. Biochemistry, Chemistry, Biotechnology, Microbiology, or a related field) will be given strong preference, given the technical nature of the products and consumables handled.
- Own laptop and own transport: required.
- Location: full-time onsite position in Macassar, Cape Town.
Terms & Remuneration
- Starting salary: R20 000 gross per month, excluding PAYE and mandatory deductions required by law.
- Probation: 3-month probation period; 10% salary increase upon successful probation period.
