Buyer / Procurement Administrator

Location: Boksburg, Gauteng
Reporting to: Financial Manager
Employment Type: Permanent
Cost to Company: R12,000 – R15,000 per month
Employment Equity: This is an Employment Equity role and appointments will be made in line with the Company’s Employment Equity Plan.

Purpose of the Role

The Buyer / Procurement Administrator will be responsible for supporting the Company’s purchasing and procurement activities, including sourcing suppliers, obtaining quotations, placing and tracking orders, maintaining procurement records, assisting with inventory management and managing supplier relationships.

The role also includes general administrative responsibilities, vehicle licensing administration and occasional operational errands where required.

Key Responsibilities

  • Source suitable suppliers and obtain competitive quotations.

  • Manage day-to-day purchasing and procurement activities.

  • Negotiate pricing, payment terms and delivery requirements with suppliers.

  • Build and maintain effective supplier relationships.

  • Place, monitor and follow up on purchase orders.

  • Assist with inventory and stock management to ensure required materials and supplies are available.

  • Maintain accurate procurement, purchasing and supplier documentation.

  • Prepare and maintain purchase and procurement reports.

  • Assist with budget monitoring and ensure purchases remain within approved budgets.

  • Support tender-related administration, including obtaining quotations and compiling required documentation.

  • Maintain accurate records relating to supplier pricing, orders, deliveries and procurement activities.

  • Assist with Pay City transactions and vehicle licensing administration through eNatis.

  • Purchase monthly groceries and general office or operational supplies as required.

  • Run Company-related errands when required using a Company vehicle.

  • Follow up on outstanding deliveries and resolve supplier or order-related queries.

  • Ensure procurement processes and documentation are completed accurately and timeously.

  • Provide general procurement and administrative support to the Financial Manager and wider business as required.

Minimum Requirements

  • Matric / Grade 12.

  • A relevant tertiary qualification in Procurement, Purchasing, Supply Chain Management, Logistics, Business Administration or a related field
    .

  • 3–5 years’ experience in a buying, purchasing, procurement or similar role.

  • Experience with in a manufacturing, engineering, mining equipment or industrial environment would be advantageous.

  • Strong sourcing, supplier management and negotiation experience.

  • Experience with inventory or stock-related administration.

  • Good administrative and documentation skills.

  • Competent computer skills, including Microsoft Office and Excel.

  • Exposure to an ERP, purchasing or procurement system would be advantageous, for example Sage, Pastel, Syspro, SAP, Microsoft Dynamics or similar
    .

  • Pay City and eNatis experience would be advantageous but is not essential.

  • Valid South African driver’s licence.

  • Willing and able to drive a Company vehicle when required.

  • Ability to work independently while supporting the broader team.

Working Hours

  • Standard office working hours Monday to Friday
    .

  • The successful candidate must be willing to work overtime from time to time should operational requirements require it.

Ideal Candidate

The ideal candidate will be a practical, organised and hands-on procurement professional with strong supplier management, sourcing, negotiation and administrative skills. Experience with in a manufacturing, engineering, industrial or mining-related environment would be highly advantageous.
