JOB DESCRIPTION Tracking Administrator Purpose of the Role

The Tracking Administrator is responsible for overseeing and coordinating the real-time tracking and monitoring of company vehicles and assets. The role ensures vehicle and driver safety, cargo security, and full accountability of all tracking units. Key duties include monitoring alerts, managing geo-fenced no-go zones, performing health checks, updating the Tracking SOP, taking corrective action on notifications, and supporting daily, weekly, and monthly reporting to meet month-end deadlines.

1. Financial KPA
  • Maintain budget by ensuring tracking units correspond with the asset list.
  • Understand and manage all tracking-related costs.
  • Contribute to cost-saving initiatives.
2. Customer KPA
  • Deliver high-standard internal and external customer service.
  • Maintain continuous feedback and result-driven communication with all departments, branches, divisions, and team members.
  • Communicate the Tracking SOP to all relevant employees to ensure adherence.
  • Handle external customer escalations and exceptions effectively.
3. Operational KPA
  • Conduct live tracking of AMS and ATT fleet daily, monitoring for:
  • Power down / battery disconnection
  • Tampering
  • Jamming
  • Hi-jack / Panic alarms
  • Respond immediately to panic alerts (phone driver; elevate to Line Manager, Branch Manager, or Telematics provider if no response).
  • Activate recovery units within 5 minutes of authorised alert.
  • Investigate high G-force and possible collision events; notify Line Manager and Branch Manager within 15 minutes. Escalate serious incidents (injuries/death) to Senior Tracking Supervisor, Fuel Manager, and General Manager-AMS.
  • Mark and geo-fence hot spots / no-go zones; prevent unauthorised entry and elevate any breaches.
  • Escalate driver behaviour alerts (speeding, harsh braking, excessive idling, over-revving) to the relevant Manager.
  • Pull and distribute daily reports before 11h00 (overspeeding, excessive idling >3 min, driver behaviour, hot spots, no-go zones, km reports, private km >200 km on weekends, unit health checks).
  • Perform 15--20 daily vehicle replays; identify abnormalities, record, elevate, and obtain corrective feedback within 72 hours.
  • Act as Account Manager for Telematics service providers:
  • Ensure all AMS/ATT vehicles are fitted with operational tracking units.
  • Verify model/serial numbers, perform health checks, manage installations, de-installations, repairs, and maintenance contracts.
  • Allocate units to correct cost centres and process transfers/updates.
  • Manage user access/control and update driver information, tags, and keypad coding.
4. Learn & Grow KPA
  • Keep own and subordinates' job descriptions updated quarterly.
  • Foster a daily learning culture through on-the-job training.
  • Support succession planning for key operational areas and report progress to the Senior Tracking Supervisor.
Decision-Making Authority
  • Resolve problems and implement preventative measures.
  • Apply disciplinary steps where required.
  • Assist with resourcing recommendations.
  • Override SOP only when authorised and in the best interest of ATT/AMS and the customer.
  • Prepare POs and invoices within Limits of Authority.
  • Make customer-service decisions that do not incur unnecessary cost to the company.
Minimum Requirements
  • Matric
  • Minimum 3 years' knowledge of the transport industry
  • Valid driver's licence
  • Previous telematics and tracking experience
