Connecting the production floor with operational management and finance, this role ensures the accuracy and timeliness of data behind manufacturing processes, inventory, time tracking, and dispatch. The position acts as a pivotal administration link in Ballito, maintaining reliable operational records across systems, supporting daily workflow controls, and preventing administrative friction from causing payroll or stock backlogs.
Working on site in a full-time capacity, the role involves daily presence in both office and factory environments to monitor daily attendance, process inventory conversions, manage product master data, and coordinate dispatch verification. This opportunity suits a methodical professional with strong numerical aptitude and experience within manufacturing or FMCG operations.
Key ResponsibilitiesTime Attendance and Payroll Inputs: Monitor daily attendance across wage and permanent staff, investigate absences or clocking gaps, track leave, reconcile overtime and night shift registers, and prepare wage inputs for Pay Space by set deadlines.
Inventory and Production Processing: Execute material conversions, allocate raw materials (such as ink, foil, and paper) to components, process finished goods assemblies, and verify yields and material usage in Cin7 Core.
Product Master Data & BOM Maintenance: Create and update item codes, maintain Bills of Materials (BOMs), ensure accuracy of product ratios and specifications, and update production workflow tracking.
Production Reporting: Capture daily production output by cut-off times, maintain KPI boards, and highlight variances, missed targets, or material usage anomalies to management.
Dispatch & Proof of Delivery: Contact customers to verify delivery receipt in full, upload proof of delivery (POD) records and photographs, and investigate delivery shortfalls or discrepancies.
Operational Administration: Prepare attendance documentation under management instruction, support stock counts, order printing plates/dies, and maintain orderly physical and electronic records.
Requirements- 3 to 5 years of experience in a manufacturing, FMCG, packaging, printing, or production environment.
- Practical experience in at least two of the following areas: production administration, inventory/manufacturing transactions, payroll/time attendance administration, or BOM/product master data maintenance.
- Strong Microsoft Excel proficiency, including formulas, lookups, filtering, sorting, and reconciliations.
- Hands-on experience operating an ERP, manufacturing, or inventory management system.
- Practical understanding of payroll inputs, overtime calculations, shift allowances, leave tracking, and attendance records.
- Proven numerical competence with units of measure, ratios, quantities, and production yields.
- Ability to work on site in Ballito and split time between office administration and the production floor.
- Practical experience using Pay Space payroll software.
- Practical experience using Cin7 Core inventory software.
- Direct experience in printing or packaging operations.
- Relevant qualification in administration, HR, payroll, supply chain, bookkeeping, or production.
- Familiarity with Quality Control (QC) or Acceptable Quality Limit (AQL) standards.
