Job Advert Summary

The Picking / Warehouse Administrator is responsible for the accurate and efficient coordination of warehouse picking activities, inventory management, and administrative functions. The incumbent will leverage a Warehouse Management System (WMS) to ensure seamless order fulfilment, stock accuracy, and compliance with standard operating procedures. This role serves as the key link between warehouse operations and administrative reporting, ensuring that all picking processes are executed timeously and with precision.

Education & Qualifications

• Matric / Grade 12 (NQF Level
  4) – Essential.
• Diploma or Certificate in Warehousing, Logistics, Supply Chain Management, or related field – Advantageous.

Experience

• Minimum 2–3 years of experience in a warehouse picking or warehouse administration role.
• Proven, hands‑on experience operating a Warehouse Management System (e.g., SAP WM/EWM, Manhattan, Blue Yonder, Infor, Oracle WMS, or similar).
• Experience with barcode scanners, RF devices, and automated picking technologies.
• Prior experience in a fast‑paced distribution or fulfilment centre environment is preferred.

Picking & Order Fulfilment

• Coordinate and execute daily picking activities in accordance with customer orders and delivery schedules.
• Utilise the WMS to generate pick lists, allocate stock, and confirm order completions accurately.
• Ensure all picked items are verified against order requirements to minimise errors and returns.
• Manage wave planning and batch picking processes to optimise warehouse efficiency.
• Investigate and resolve picking discrepancies, short shipments, and stock variances.

Warehouse Management System (WMS) Administration

• Operate and maintain the WMS for all picking, packing, and dispatch‑related transactions.
• Process goods receipts, stock transfers, location moves, and inventory adjustments on the WMS.
• Generate and analyse WMS reports including pick accuracy, throughput, ageing stock, and cycle count results.
• Troubleshoot WMS‑related issues and elevate system faults to IT or the WMS vendor as required.
• Assist in WMS configuration updates, user setup, and system testing during upgrades or implementations.

Inventory Management & Stock Control

• Conduct daily cycle counts and periodic full stock takes, reconciling physical stock to WMS records.
• Monitor stock levels, highlight slow‑moving or obsolete inventory, and recommend corrective actions.
• Maintain accurate bin locations and ensure correct slotting of products within the warehouse.
• Support the implementation and maintenance of FIFO/FEFO principles.

Administrative & Reporting Duties

• Prepare daily, weekly, and monthly warehouse performance reports for management review.
• Maintain accurate filing systems for delivery notes, proof of delivery (POD), and picking documentation.
• Coordinate with procurement, sales, and transport teams to ensure alignment on order priorities.
• Process and manage returns, credits, and damaged goods documentation.
• Assist with general administrative tasks such as data capturing, correspondence, and scheduling.

Health, Safety & Compliance

• Adhere to all warehouse health and safety regulations and company policies.
• Ensure the picking area is clean, organised, and compliant with 5S standards.
• Report any safety hazards, incidents, or near‑misses in accordance with OHS Act requirements.
