We have an exciting new opportunity for an experienced, enthusiastic Database Administrator to join our small but driven Fundraising team.
Who are Heartbeat?Heartbeat are a regional charity established in 1992 that helps babies, children and adults diagnosed with congenital and cardiovascular diseases primarily by supporting the work of the Wessex Cardiac Unit based at Southampton University Hospital. This is achieved by providing specialised equipment, services and facilities to help patients and their relatives through their cardiac journey.
What will you be doing?- Support the day‑to‑day operation, maintenance, and monitoring of our databases
- Entering cheques and BACS transfers onto database
- Verify data for accuracy, completeness & consistency
- Verify names, addresses, emails, and preferences for accuracy
- Correct errors and resolve data discrepancies
- Clean and de-duplicate mailing lists to avoid errors and returned mail
- Ensuring correct data for organisation or individual records to improve mailing lists
- Maintain donation records
- Extract data and create reports
- Enter, update, and maintain contact details for mail‑outs (post and email)
- Prepare databases for bulk mail‑outs and campaigns
- Apply segmentation criteria (e.g. location, preferences, campaign type)
- Comply with data protection policies
- Process opt ins, opt outs & unsubscribe requests
- Ensure correct treatment of gift aid, maintain gift aid records and chase up gift aid declarations
- Organise & manage electronic records and files
- Work with the team to ensure we maintain complete information
- Ability to work to deadlines & follow instructions
- Assist with content for social media & email campaigns
- Help coordinate events and promotions
- Assist with Fundraising events which sometimes take place in the evenings and weekends
- Helping the team as required
- Ad-hoc duties as required
- Holiday cover as required
- Strong attention to detail & accuracy
- Computer literate and experience using database & CRM systems
- Confident with Microsoft Office
- Understanding of data confidentiality and security
- Part time flexible working pattern of 18 hours per week
- A generous 25 days holiday plus bank holidays (pro-rata for part-time hours)
