Executive Assistant

Location:

Southampton

Salary: £40,000 per annum

Hours:

Monday to Friday, 37.5 hours per week

Contract:

Temp-to-Perm, with an opportunity to become permanent for the right candidate

We are looking for an experienced Executive Assistant/Personal Assistant to join a well-established and highly regarded organisation within the marine industry.

The successful candidate will be supporting senior directors and playing an important role within the day-to-day running of the organisation. Personality and cultural fit are particularly important, and we are looking for someone who is warm, approachable, professional and genuinely enjoys working closely with people.

Key Responsibilities
  • Providing high-level administrative and organisational support to senior directors
  • Managing diaries, meetings and appointments
  • Coordinating meetings and ensuring actions and follow-ups are managed effectively
  • Preparing documents, correspondence and reports
  • Handling confidential and sensitive information with discretion
  • Liaising with internal teams, clients and external contacts
  • Helping to coordinate the smooth running of day-to-day activities
  • Managing competing priorities and ensuring deadlines are met
  • Acting as a reliable and trusted point of contact for the directors
  • Supporting with general administrative and organisational tasks as required
You will ideally be:
  • Have a background in an Executive/Personal Assistant role
  • Warm, personable and approachable
  • Highly organised with excellent attention to detail
  • Proactive and able to anticipate what needs to be done
  • Confident communicating with people at all levels
  • Discreet and trustworthy when handling confidential information
  • Calm under pressure and able to manage competing priorities
  • A strong team player who enjoys being part of a close-knit working environment
  • Someone who takes ownership and can be relied upon to get things done
