Ocean Infinity is looking for motivated Tender Coordinators to join our growing team.
What You Will DoIn this role, you will support the preparation, coordination, and submission of pre‑qualification questionnaires (PQQs), requests for information (RFIs), and tender responses, ensuring everything is delivered to a high standard, on time and in line with our defined processes. You’ll work closely with our Global Business Development team, playing a key role in securing new opportunities and driving business growth.
Tender Coordination- Monitor, coordinate and manage incoming enquiries through a centralised location, including PQQs, RFIs, and tender opportunities, ensuring timely review, prioritisation and allocation where required, and accurate capture and maintenance of all relevant information is accurately within CRM and SharePoint systems.
- Serve as the primary point of coordination for all assigned enquiries, ensuring timely management of PQQs, RFIs, and tender opportunities.
- Prepare and submit pre‑qualification questionnaires (PQQs) and RFI’s in compliance with client specifications and Ocean Infinity procedures, ensuring effective coordination of inputs and timely delivery.
- Oversee and manage pre‑qualification and client portals/platforms, working closely with relevant internal teams to ensure accurate and timely updates.
- Support Tender Managers with tasks related to the tender process, including:
- Contacting potential subcontractors in line with internal procedures.
- Gathering and coordinating information from all relevant internal teams.
- Maintain strict compliance with client requirements throughout the tender process, where relevant.
- Facilitating handover of collected information to Tender Managers for inclusion in submissions.
- Maintain and manage company information and/or documents required for PQQs and tender submissions, ensuring accuracy and accessibility.
- Provide support to the Business Development Team by preparing and supplying documentation and information as required.
- Where relevant, attend relevant meetings with clients, subcontractors, suppliers, and internal teams to support tender and business development activities.
- Where required, work with Tender Managers, to manage low complexity proposals or short‑form bids by preparing budgetary quotations.
- Log, maintain and update CRM systems to ensure all information is accurate, current, and accessible.
- Support development and improvement of standard templates, forms and/or contents.
- Support with analysis of win/loss outcomes and share insights to improve tender strategies and win ratio.
- Support post‑bid reviews and embed lessons learned into best practices.
- Attend industry exhibitions and conferences, where relevant.
- Monitor market trends, competitor activity, and pricing to inform tender submissions and strategy.
- Experienced professional with an understanding of offshore operations and/or offshore industry.
- Fluent in English, with excellent written and verbal communication skills.
- Thoughtful, thorough, and conscientious, with high levels of integrity and credibility when handling confidential matters.
- A collaborative team player who values others’ perspectives and strives for the best outcome for the team and company.
- Proactive, driven, and able to take ownership, working autonomously with minimal supervision whilst balancing team collaboration.
- Ability to analyse, collate, summarise, and present information from multiple sources to support interpretation and decision‑making by the Commercial Team.
- Strong critical thinker with the confidence to challenge, show initiative, and embrace new ideas.
- Highly organised, with excellent time‑management skills and the ability to prioritise in fast‑paced environments.
- Demonstrated familiarity or understanding of the tender lifecycle and/or Invitation to Tender (ITT) documentation.
- Enthusiastic about innovation, collaboration, and delivering excellence for people and the planet.
Salary for this position:
Up to £45,000 per annum.
