Assistant Director of Facilities

Reports to:

Director of Facilities

Status:
Full-time, exempt

Compensation: $90,000-$110,000, depending on experience

Position Summary

Reporting to the Director of Facilities, the Assistant Director of Facilities ensures that all school buildings, dormitories, athletic facilities, faculty housing, and campus grounds are safe, clean, well‑maintained, and visually presentable. This role leads daily operations, supervises facilities staff, manages the work order system, and supports the execution of capital projects and events. The Assistant Director fosters a culture of accountability, responsiveness, and continuous improvement across the facilities team and may assist with capital project logistics and event coordination as needed.

Key Responsibilities Campus Operations & Maintenance
  • Lead daily maintenance, custodial, and groundskeeping operations across campus.
  • Manage daily work order flow and track completion rates, response times, and quality of work; identify trends and implement process improvements.
  • Support preventive maintenance programs for HVAC systems, life safety equipment, and other critical infrastructure.
  • Ensure dormitories and student spaces are safe, clean, and comfortable, with prompt attention to reported issues.
  • Maintain high standards for campus appearance, including landscaping, signage, and cleanliness.
  • Serve as a responsive point of contact for faculty and staff.
Project and Event Support
  • With support from the Director of Facilities, support the daily execution of capital projects and campus improvements.
  • Serve as on‑site point of contact for contractors, vendors, and inspectors.
  • Oversee setup and logistical support for school events, such as alumni gatherings, admissions events, graduation, and summer programs.
Compliance & Safety
  • Demonstrated familiarity with safety regulations, building codes, and internal standards, and the ability to monitor and ensure ongoing compliance across all facilities operations.
  • Support emergency preparedness and response protocols.
  • The employee must be able to sit, stand, walk, climb stairs and ladders, crawl, stoop, bend, squat, pull, and use both hands on repetitive tasks—including overhead tasks. They must also be able to lift a minimum of 50 pounds.
Staff Supervision & Development
  • Supervise facilities team leads and their respective teams, including custodians, maintenance staff, and groundskeepers.
  • Promote a culture of accountability, professionalism, and pride in campus stewardship across all levels of the department.
  • Provide coaching, performance feedback, and training to team leads to support their development and ensure consistent standards across the operation—and hold them accountable for doing the same with their teams.
  • Monitor team performance and help identify opportunities for improvement, recognition, and role clarity.
Administration & Budgeting
  • Assist the Director with budget tracking, procurement, and vendor coordination.
  • Support procurement of supplies, equipment, and service contracts, including ensuring appropriate bidding procedures and vendor selection procedures.
  • Maintain accurate records of inspections, permits and compliance documentation.
Working Conditions and Schedule
  • Full‑time, campus‑based position.
  • Must be available for evenings, weekends, holidays, and emergency response as needed and scheduled.
  • Position is eligible for on‑campus housing. If the selected individual desires on‑campus housing, it is conditioned upon serving as the primary contact for emergency response and after‑hour responsibilities.
  • If selected individual does not desire on‑campus housing, must be available to participate in the school’s on‑call rotation for after‑hour emergencies.
  • Combination of office work, site supervision, and hands‑on support across campus.
  • Ability to move across a large campus, climb ladders, and lift up to 50 lbs.
