About the Role
Integrity Plus is recruiting on behalf of an established and highly respected law firm for a Legal Secretary / Legal Support Assistant to join its busy property team.
This is an excellent opportunity for someone who is organised, professional and keen to develop a career within the legal sector. Previous legal secretarial experience would be advantageous, but a willingness to learn and a strong administrative background are equally important.
You will provide high-quality administrative and secretarial support to fee earners and the wider legal team, helping to ensure clients receive a professional and efficient service.
Key Responsibilities
• Provide typing, secretarial and administrative support to fee earners and the wider legal team.
• Produce correspondence and legal documents using digital dictation, word processing and existing templates.
• Maintain accurate electronic client and matter files using the firm's case management systems.
• Scan, print, photocopy and electronically file documentation as required.
• Assist with the efficient management of client and matter files from opening through to completion and closure.
• Manage incoming and outgoing correspondence and mail.
• Arrange appointments, meetings and travel and maintain diaries where required.
• Communicate professionally with clients by telephone, email and in person.
• Ensure clients are kept appropriately updated throughout the process.
• Assist colleagues with administrative and compliance-related tasks.
• Maintain strict confidentiality when dealing with client and firm information.
• Follow legal procedures, internal processes and compliance requirements.
• Develop knowledge of the firm's systems and processes through training and on-the-job learning.
• Work flexibly as part of the wider support team and assist colleagues when required.
• Carry out other reasonable administrative duties as requested by fee earners and managers.
Property Team Responsibilities
As part of the property team, you will have the opportunity to develop knowledge and experience in areas including:
• Land Registry searches and applications.
• Preparing documentation for registration of both registered and unregistered property.
• Stamp Duty Land Tax (SDLT) returns and use of the HMRC website.
• Property searches and enquiries.
• Preparing and submitting enquiries to utility companies and local authorities.
• Supporting property transactions and understanding the different forms and documentation involved.
• Maintaining and securely storing property documentation at the end of transactions.
• Using relevant property and mapping systems as required.
• Checking account details through the appropriate procedures.
Litigation
• Understand how to use the strong room including searching for and retrieving documents and procedures for sending out original documents
• Understand how to use the HM Land Registry Portal to obtain title documents
• Understand how to tab up documents to be sent out including, but not limited to, Settlement Agreements and Statements
• Utilise the company precedents such as Statements and Instructions to Counsel
• Understand the use of CE Filing to upload correspondence and/or documentation for the Court’s attention
Private Client
• Binding and sewing Wills
• Understand how to use the strong room including searching for and retrieving documents and procedures for sending out original documents
• Prepare, but not limited to, Wills, Codicils and Living Wills, Lasting Powers of Attorney, Deeds of Revocation and Deputyship Orders including the care and storage of those documents
• Complete relevant forms and Land Registry searches
• Understanding of Trust and Deposit accounts and all paperwork around Estate administration
Skills & Experience
We are looking for someone who is:
• Organised and highly attentive to detail.
• Confident using Microsoft Office and comfortable learning new computer systems.
• An excellent communicator with good written and verbal communication skills.
