OverviewPosition hours and days vary. Pay: 2025-26 salary $21.86/hourly.
This position provides a variety of office support to an assigned program, including receptionist activities, composing and typing correspondence and reports; record tracking, budget or financial tracking, customer service, computer operation, maintaining knowledge of program rules and regulations (including state reports), producing custom reports, and other support functions.
Reporting RelationshipsReports to the Assistant Director of Human Resources; also reports to school principal building administrator(s) and receives guidance from certificated staff while substituting.
Essential Functions- Maintain program records and research, track records for compliance and/or completion, maintain record accuracy, input data into computer, produce reports, monitor grant monies, and coordinate assessment materials, records, schedules, and results.
- Prepare monthly newsletters, routine forms, memoranda and correspondence; proofread, distribute materials.
- Answer the telephone, greet office visitors, provide program information and advice to staff, parents, and professionals; use tact and confidentiality; route callers and take messages; keep communication lines open between teachers, staff, supervisors, parents, and the community.
- Review and balance budgets with monthly financial reports; monitor receivables; make appropriate coding changes and postings.
- Maintain inventory and records.
- Operate a computer and software packages (word processing, spreadsheet, database, desktop publishing, mainframe applications); provide routine and custom reports.
- Maintain current knowledge of program rules, regulations, laws, and procedures; process materials for program compliance.
- Track projects and deadlines; coordinate with others to meet deadlines; report monthly enrollment counts for categorical programs.
- Provide clerical support such as typing correspondence, reports, and memoranda; compose correspondence; maintain a calendar; make travel and conference arrangements; create and maintain files; take minutes; prepare agendas; perform a wide variety of office support.
- Receive, open, date‑stamp, and route incoming mail; screen mail and take action on appropriate items.
- Model appropriate and cooperative behavior, protecting confidential information in line with district ethical guidelines.
- Provide backup and peak‑load assistance as requested.
- Work with auditors and/or program compliance personnel.
- Purchase refreshments for meetings and conferences; track refreshment expenses.
- Serve on various district committees and/or departmental work teams.
- Perform related duties consistent with the scope and intent of the position.
Required to adapt to shifting priorities and frequently re‑channel work effort; requires concentration and attention to detail; may occasionally deal with distraught or difficult individuals.
Physical DemandsWork exposed to a visual display terminal for prolonged periods; required to sit for prolonged periods; some positions may require travel to various school sites.
Minimum QualificationsEducation and Experience:
Two (2) years of training in secretarial procedures, maintaining detailed records and customer service.
Allowable Substitutions:
Advanced training in business or secretarial procedures may substitute up to one (1) year of the required experience; other alternatives the district may find appropriate and acceptable.
