Job SummaryThe Upper Columbia United Tribes (UCUT) are leading efforts to reintroduce salmon to areas upstream of Chief Joseph, Grand Coulee, and Spokane River dams. The Coeur d’Alene Tribe (CDAT), Confederated Tribes of the Colville Reservation (CTCR), Spokane Tribe of Indians (STOI), and their consortium UCUT, are the leaders in returning anadromous fish to historically occupied habitats above these barriers. This work is guided by the Phase 2 Implementation Plan (P2IP)—a 21-year strategy to design, install, and test fish passage facilities and salmon reintroduction strategies.
UCUT is seeking a P2IP Program Coordinator to provide essential administrative and organizational support to the P2IP Committee and its partners. This role is ideal for someone who thrives in a dynamic, multi-partner environment and is passionate about salmon recovery, tribal sovereignty, and natural resource restoration in the Columbia River Basin.
The position will report to the UCUT Executive Director and be expected to work closely with the P2IP Committee (made up of the P2IP Technical Working Group, P2IP Senior Managers, and P2IP Commissioners).
Essential Functions Meeting Support & Documentation- Schedule, coordinate, and facilitate meetings and events across multiple organizations and time zones
- Prepare agendas, take detailed meeting minutes, distribute action items, track follow-ups and ensure accountability across teams
- Facilitate regular team meetings, status updates, and progress reviews
- Use project management tools (i.e., Asana) to assign tasks, monitor progress, and maintain project visibility
- Support internal operations and help the P2IP Committee stay on track with deliverables
- Assist with organizing documentation and timelines
- Serve as a point of contact between UCUT P2IP Committee, Member Tribes, external partners, and consultants
- Facilitate clear communication and coordination across diverse teams, projects, and contracts
- Help maintain momentum on projects that are in early or planning stages
- Provide regular updates on project progress, challenges, and milestones
- Maintain close liaison with each Member Tribe and their technical staff through various modes, including frequent individual visitation to the Member Tribes’ reservations and headquarters
- Assist with budget tracking and procurement processes
- Support compliance with funding requirements and internal policies
- Organize and maintain internal systems, processes, and records
- Prepare records of decisions, route them through the Committee process, and maintain records of Committee decisions
- Provide support for multiple P2IP projects simultaneously
- Assist in the acquisition and coordination of resources for P2IP studies
- Proactively identify and provide solutions for potential risks and challenges
- Elevate and resolve project-related problems in a timely manner
- Assist in an annual review of completed project components and document lessons learned and best practices
- Assist in the development of recommendations for future process improvements and organization learning
- In collaboration with the P2IP Committee, prepare contracts and agreements between UCUT and its partners
- Manage subcontracts and ensure they meet UCUT’s federal funding and internal procurement policies
- Prepare and compile financial and technical implementation reports for grant funders
- Assist in the preparation of quarterly and annual financial reports for the P2IP Committee
- Highly organized and detail-oriented
- Strong interpersonal and communication skills with the ability to facilitate small group meetings and work sessions and collaborate with the Member Tribes and regional partners
